23,970 per annum, rising to 23,480 after successful completion of a 6-month probationary period (pro-rated)
You can work from any Cyfannol Women's Aid space, your home or community locations in order to meet the requirements of your role.
This role is to be worked between Monday - Friday however, there is flexibility on the start and finish times.
Purpose of the Post:
Providing an administrative and customer focused service to all team members, including Trustees, CEO and the Senior Management and Leadership team in relation to people services. T
Specific responsibilities
Recruitment and Selection:
Provide support to management for all recruitment campaigns, including scheduling interviews and posting vacancies.
Manage the ATS system and provide a responsive, friendly service to all applicants.
Ensure timely and consistent applicant communication to promote engagement and a positive candidate experience.
Keep all recruitment records GDPR compliant.
Support the onboarding experience by liaising with candidates throughout the process and answering queries.
Assist with interviewing and assessment arrangements when necessary.
Induction and on boarding:
Deliver and co-ordinate induction for new starters, including welcome communications, preparation of materials, and setting up sessions with key teams.
Manage the full onboarding process by preparing offer letters, contracts, reference requests, security checks, right to work checks, and any other new starter paperwork.
Liaise with teams to ensure all new starters are set up on systems, email accounts, and have access to required resources.
Ensure that all completed induction booklets are returned and appropriately stored following the completion of the probationary period.
Create internal announcements to inform teams of new starters and ensure a warm welcome.
Training and Development:
Provide administrative support to the Learning & Development Coordinator in the delivery of training across the organisation.
Ensure all training records and certificates are accurately recorded, stored centrally, and remain GDPR-compliant.
Organise outsourced training by liaising with providers, booking venues (where applicable), managing attendance, and arranging refreshments or other provisions.
Gather and record feedback on training sessions to support the evaluation of training effectiveness and contribute ideas for improvement.
Offboarding:
Prepare and send resignation acknowledgement letters and manage system access removal in coordination with IT or relevant teams.
Ensure exit interviews are scheduled, conducted (where appropriate), and feedback is collated and stored confidentially.
Support internal communication by drafting and sharing announcements of leavers sensitively and appropriately.
Organisational:
Assist with the review and updating of policies and procedures, ensuring alignment with current legislation, best practice, and organisational change.
Support the communication and roll-out of updated or new policies to team members.
General administration
Develop, maintain, and continuously improve administration processes and systems to support efficient People Services operations.
Collate, maintain, and archive organisational records in accordance with GDPR and confidentiality protocols.
Ensure all forms, templates, and documents used across People Services are current, user-friendly, and accessible.
Provide cross-cover and collaborative support to other People Services functions during periods of absence or high demand.
Process invoices and maintain the PO book accurately for People Services expenditure.
Support internal or external audits.
Employee Relations:
Maintain accurate and up-to-date records of sickness absence and other ER-related data using the Human Resources Information System (HRIS), ensuring GDPR compliance.
Compile and share monthly absence reports with managers, highlighting relevant dates for reviews or required documentation.
Prepare standard letters and documentation relating to absence, performance, or other ER processes, as directed by the People Services team.
Provide timely and confidential note-taking support during meetings such as welfare check-ins, disciplinary or grievance hearings, and performance discussions.
Administer renewal checks for existing team members (e.g. DBS, Right to Work), ensuring all records remain current.
Ensure all ER-related documentation is securely stored, easily retrievable, and in line with organisational policies.
Other:
Actively demonstrate and promote Cyfannol's ethos, vision, and values in all aspects of work.
Contribute positively to the organisation's reputation through professionalism, discretion, and service excellence.
Participate fully in team meetings, supervision, and development activities.
Comply with all organisational policies and procedures, modelling expected standards of conduct.
Undertake any other reasonable duties as requested by your line manager, adapting flexibly to organisational needs.

The ability to travel independently and in a timely manner to fulfil the requirements of the role is essential.
