Personal Assistant & Office Coordinator

Job Description

Responsibilities:
1. Handle and respond to all phone calls received on the Director's phone.

2. The Managing of the Director's inbox, organising and ensuring emails are responded to in good time.

3. Schedule appointments/meetings and diary management

4. Set up facilities in good time for planned meetings, ensuring the Director has documents required.

5. Maintain a high level of confidentiality.

6. Taking minutes at meetings and from dictations

7. Liaise with other members of staff on behalf of the Director, ensuring updates are given and received accordingly.

8. Arrange travel and events including forums, exhibitions, and internal events.

9. Complete reports and other ad hoc administration tasks

11. Any other ad hoc tasks as required.

Office Coordinator:

1. Maintain stock levels of office equipment liaising with each department to understand needs.

2. Assist in coordination of fire alarm testing, and general maintenance of the office environment, liaising with Operations Managers

3. Organise Company events and assist in staff recognition initiatives

4. Coordinate Office Cleaner, reporting any issues.

5. Any other ad hoc tasks as required

Experience:
- Proven experience as a Personal Assistant or similar role. We will consider applicants with less experience.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent phone etiquette and communication skills, both written and verbal
- Proficiency in data entry and using computer software such as Google Suite, Microsoft Office Suite and various CRMs
- Knowledge of clerical and administrative procedures
- Familiarity with office equipment and basic troubleshooting
