Personal Assistant (PA)

to support our Chief Operating Officer (COO) as the organisation continues to thrive and grow.

Whether you're seeking a full-time role or have part-time availability, we'd love to hear from you. While full-time availability is preferred, it's not essential at this stage - but as we expand, this role is likely to grow in scope and significance.

The Role



As the PA to the COO, you will play an integral role in ensuring the smooth operation of their office. You will be responsible for managing schedules, coordinating key projects, handling correspondence, and providing proactive support across a variety of administrative and executive tasks. This position offers variety, autonomy, and the chance to make a meaningful contribution in a fast-paced and growing organisation.

Key ResponsibilitiesExecutive Support



Manage the COO's diary, schedule appointments, and coordinate travel arrangements. Serve as the first point of contact for the COO, handling correspondence and enquiries with professionalism and discretion. Prepare agendas, take minutes, and follow up on action points from meetings. Assist with reports, presentations, and communication with internal and external stakeholders. Monitor and manage the COO's email inbox, responding on their behalf when appropriate. Collaborate with the CEO on the planning and execution of annual organisational events.

Administrative Management



Organise and coordinate key meetings, including logistics, materials, and attendees. Maintain accurate and confidential records, files, and systems. Liaise with internal teams and external stakeholders on behalf of the COO. Provide research and briefings to ensure the COO is fully prepared for engagements.

Project Support



Coordinate activities and track deadlines for key organisational projects. Support organisational initiatives and events led by the COO.

Communication and Relationship Building



Build strong working relationships across the organisation and with external stakeholders. Represent the COO and the organisation with professionalism and a warm, approachable manner. Attend events with the COO, providing logistical support as needed.

In-Service and Operational Support



Offer on-site support to services across the group when required. Address operational challenges and build team relationships within services.

Additional Duties



Conduct interviews for Administrator roles across the group. Handle personal tasks and errands for the COO with discretion. Proactively identify opportunities to improve office efficiency and processes.

About You



We're looking for someone who:

Is highly organised with exceptional attention to detail. Can manage multiple priorities effectively in a fast-paced environment. Possesses strong clerical skills and phone etiquette. Is proficient with Microsoft suites. Is a proactive problem-solver with excellent communication skills. Demonstrates professionalism, discretion, loyalty, and reliability in all interactions.
