We are looking for a proactive, resourceful, and detail-oriented Personal Assistant to provide support to the Chairman and CEO of a diverse and multifaceted family office. This organisation spans property investment and development, an international FMCG company, and a charitable foundation - offering a varied and exciting workload.
In this pivotal role, you will act as the CEO's trusted partner, ensuring the seamless coordination of their professional and personal commitments. Key Responsibilities
Office Management
Oversee all functions of the CEO's office.
Maintain office supplies and ensure the workspace is organised and efficient.Project coordination and management, providing status update to CEO on current projects.'
on boarding new starters and supporting HR functions when required and ensuring continuous compliance with GDPR
Diary and Schedule Management
Coordinate and manage daily schedules, appointments, and diaries.
Proactively identify and address changes to schedules to ensure seamless operations.
Travel and Accommodation Arrangements
Plan and book domestic and international travel for the CEO and family members.
Handle all related logistics, including visas and itineraries.
Meeting Coordination
Arrange meetings, prepare and distribute agendas and board packs, and ensure timely circulation.
Record, prepare, and distribute meeting minutes.
Administrative Support
Draft letters, spreadsheets, reports, and presentations.
Assist in implementing and communicating new business processes and policies.
Manage filing systems for business and personal matters.
Stakeholder Assistance
Liaise with external stakeholders, ensuring professional and efficient communication.
General Support
Provide comprehensive administrative assistance to senior executives and directors.
Assist with property company operations and distribute business matters in the UK and internationally.
Management of the charitable foundation's general business administration activities, events, related social media; and coordination of the trustee meetings.
Qualifications and Skills
Minimum of 5 years of experience as a PA or EA.
Exceptional written and verbal communication skills.
Strong organizational and multi-tasking abilities.
Demonstrated ability to work independently and take initiative.
Strong problem-solving skills with the capacity to anticipate needs, priorities effectively, and take ownership of tasks and challenges.
Collaborative mindset - able to work effectively both independently and within a team setting, contributing to collective goals while maintaining accountability for personal responsibilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Enthusiastic and willing to learn, with a proactive approach to problem-solving.
