We are looking for a highly efficient, organised, and proactive
Personal Assistant
to support the Managing Director of our fast-growing independent pharmacy group. This pivotal role requires a confident communicator, a team player with exceptional organisational skills, and the ability to handle multiple priorities with discretion and professionalism.
Key Responsibilities
Diary & Meeting Management
Manage and coordinate the Director's calendar, appointments, and travel arrangements.
Organise meetings, prepare agendas, take minutes, and follow up on action items.
Liaise with internal teams and external stakeholders to arrange and confirm appointments.
Ensure the Director is fully briefed and prepared for all engagements.
Communication & Correspondence
Manage incoming and outgoing communication including calls, emails, and mail.
Draft and respond to correspondence on behalf of the Director and wider pharmacy management team.
Maintain a high standard of professionalism in all written and verbal communication.
Executive & Administrative Support
Support the Director with prioritising tasks and managing workload.
Prepare reports, presentations, and documentation for meetings and strategic planning.
Provide support to other management staff as needed.
Handle general administrative tasks including filing, photocopying, and maintaining office supplies.
Reception & Office Coordination
Greet visitors and manage front-of-house reception duties at Head Office.
Answer and direct incoming calls appropriately to departments.
Project Assistance
Assist with ad hoc projects and strategic initiatives as directed by the Director.
Conduct research and provide relevant information to support decision-making.
Skills & Experience
Essential:
Minimum
1 year of experience
as a Personal Assistant, Executive Assistant, or in a similar administrative support role.
Full UK driving licence
(role may occasionally require travel between sites).
Excellent organisational and time management skills.
Strong communication skills, both written and verbal.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask and work independently.
High level of discretion and confidentiality.
Professional appearance and demeanour.
Desirable:
Experience in the pharmacy, healthcare, or regulated sectors.
Familiarity with office management systems and procedures.
