Job Description

We are seeking a highly organised, proactive, and discreet personal assistant to provide comprehensive administrative and logistical support to a busy director.

The ideal candidate will be the primary point of contact, manage competing priorities with professionalism, and enable the executive to focus on core strategic responsibilities by alleviating time-consuming administrative tasks.

Key Responsibilities

Diary and Schedule Management: Proactively manage complex calendars, including scheduling meetings, appointments, and general engagements with football clubs, players, and parents, often controlling access to the executive.

Communication Hub: Act as the first point of contact, screening phone calls, emails, and correspondence, and handling them appropriately or drafting responses on behalf of the director

Travel Coordination: Plan and organise comprehensive domestic and international travel, including booking flights, hotels, and transportation, and creating detailed itineraries.

Meeting Support: Prepare meeting agendas, gather necessary briefing papers, take accurate minutes during meetings, and follow up on action points.

Document Preparation: Type, compile, and prepare various documents, reports, presentations (e.g., PowerPoint), and correspondence with meticulous attention to detail.

Office Administration: Maintain efficient filing systems (both digital and physical), manage databases, order office supplies, and process expenses/invoices.

Event Coordination: Organise and coordinate events, conferences, or social functions, managing logistics from venues to catering.

Personal Support (if applicable): Handle personal tasks or errands as required, such as managing personal appointments or arrangements, with the highest level of discretion.

Ad-hoc Projects: Conduct research, collate information, and assist with specific projects as requested.

Essential Skills and Qualifications

Organisational Excellence: Exceptional organisational, time-management, and multitasking skills, with the ability to prioritise effectively in a fast-paced environment.

Communication Skills: Strong written and verbal communication skills, with a professional and confident manner when liaising at all levels.

IT Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new software or systems.

Discretion & Integrity: Utmost discretion and the ability to handle confidential and sensitive information with professionalism and integrity.

Proactive & Resourceful: A self-motivated approach with strong problem-solving skills and the initiative to anticipate needs and act without constant supervision.

Flexibility & Adaptability: Willingness to be flexible with working hours and adapt quickly to changing priorities and demands.

Desirable

A qualification from a secretarial college or a degrebusiness administrationation or a related field.

A clean driving license and reliable access to a car (especially if personal errands are involved).

Job Type: Part-time

Pay: 13.00 per hour

Expected hours: 12 - 15 per week
