We are seeking a highly organised and proactive Personal Assistant to support our Main Director. This role is pivotal in ensuring the smooth day-to-day operations of the leadership team and enabling the Director to focus on strategic objectives.

Role Overview:



As a Personal Assistant, you will provide high-level administrative and organisational support to the Director while assisting with key financial and operational tasks. This includes managing schedules, coordinating meetings, handling invoicing and payment reconciliations, and ensuring the office is well-presented and efficiently run.

Key Responsibilities:



Diary & Schedule Management:

Coordinate and manage the Director's calendar, appointments, and travel arrangements.

Meeting Coordination:

Prepare agendas, take minutes, and ensure follow-ups for internal and external meetings.

Communication Handling:

Act as the first point of contact for calls, emails, and correspondence, prioritising and responding on behalf of the Director where appropriate.

Project Support:

Assist in the planning and execution of agency projects, campaigns, and strategic initiatives.

Document Management:

Draft, review, and format presentations, reports, and proposals.

Stakeholder Liaison:

Maintain relationships with clients, partners, and internal teams on behalf of the Director.

Financial Administration:

Prepare, issue, and send invoices to clients. Chase overdue payments professionally and in line with company policies. Reconcile payments and ensure financial records are accurate and up to date. Work closely with external accountants as needed.

Office Management:

Ensure the office environment is presentable, organised, and stocked with necessary supplies. Liaise with suppliers and service providers for maintenance, cleaning, and office needs.

Handle sensitive and confidential information with absolute discretion

Skills & Experience Required:



Proven experience in administrativeor similar role, ideally within an agency or fast-paced environment. Experience in basic financial administration, including invoicing, payment chasing, and reconciliation. Strong organisational and time management skills with the ability to prioritise effectively. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools. Ability to work independently and exercise sound judgment under pressure. Discretion and professionalism in handling confidential information. Flexible, adaptable, and resourceful with a proactive mindset.

Pay: 24,000.00-25,000.00 per year
