About the role
The Planning & Resource team (PRT) is responsible for taking new schemes from contract engagement through to operation; including commissioning and maintenance of equipment and set-up of schemes.
Reporting to the Planning & Resource Manager, the Planning Coordinator will ensure all administrative and clerical tasks are performed with accuracy and on time for the Planning & Resource Team. Duties include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities.
Duties and responsibilities
Manage and respond to incoming emails and calls, conforming to set SLA's
Monitor and respond to internal Microsoft Teams chats and take immediate action to respond to any P1 (no heating and hot water) issues by handing over jobs to a Technical Resource and Planning Co-ordinator
Monitor progress of individual client schemes and report progress to clients on a weekly basis
Update and maintain client schemes on Monday.com ensuring accuracy of data
Arrange outstanding appointments for all Installation/HIU servicing works by contacting residents or liaising with clients
Monitor "Youcanbookme" website daily and collate confirmed appointments
Schedule confirmed appointments onto "Big Change" (CMMS) ensuring efficient utilisation of engineering resource
Review job cards from the previous day and action any follow up works, keeping the clients and residents informed of progress
Review Engineering schedule daily and escalate any engineer compliance issues to Field Ops Manager
Work closely with the Operations Support Lead to manage the follow up works requiring quotation and authorisation from client
Liaise effectively with external stakeholders such as clients, managing agents and residents etc.
Liaise effectively with internal stakeholders such as Field engineers, Client Account Managers, Customer Services etc.
Review and validate completed jobs for finance team
Provide back-office support for Field engineers
Location and working hours:
Full-time position (37.5 hours per week).
Monday to Friday
7.5 hours per day between 08:00 - 20:30
30-minute lunch break & two 15-minute breaks (unpaid) during each working day.
Office location: Stuart House, Peterborough (PE1 5DD) with flexibility to work from home as agreed with line manager.
Required skills and attributes:
The candidate will have the following experience and qualifications:
Proven experience as an office administrative assistant
Previous experience within a planning or scheduling role
Ability to remain calm under pressure
Proficiency in MS Office. Specifically operating at a minimum level of intermediate Excel skills, and comfortable using Outlook and Word.
Excellent time management skills and the ability to prioritise work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organisational skills with the ability to multi-task
