The role
As our Planning Co-ordinator, you'll be the backbone of our operations, ensuring smooth project delivery for our 1000+ clients. You'll manage diaries, handle client enquiries, and coordinate logistics for our tree care projects.
What we're looking for
You'll have at least 2 years strong administration experience in a busy services industry. You should have good IT skills including Microsoft Office, multiple diary management, and excellent communication skills (both written and verbal).

Principal responsibilities & duties
Administrative Support
Utilise and maintain electronic and manual filing systems.
Ensure delivery of exceptional customer care in line with company systems and procedures.
Provide administrative service and support for individual projects when required.
Supervise and manage managers' daily electronic diaries effectively and logistically.
Handle daily office tasks, including dealing with post and processing payments.
Ensure compliance with all company policies, Health and Safety protocols, and legislative requirements.
Respond to all correspondence (emails, letters, etc.) promptly, in line with company policy.
Client & Project Coordination
Handle initial enquiries via telephone or email, booking site visits using Outlook calendars.
Liaise with managers to create and send quotes promptly.
Manage and process accepted quotations, including pre-booking requirements such as TPO/CA checks, parking suspensions, traffic management and hiring of equipment, liaising with suppliers as necessary.
Ascertain all appropriate resources, including equipment and staff, are in place to ensure smooth project delivery.
Sign off completed works and issue invoices promptly.
Database Management
Maintain and update works programming database including accurate notes.
Generate and analyse database reports (KPIs, acceptance rates, etc.) as required.
Teamwork and Culture
Foster a positive and proactive team environment, embodying a 'Can-Do' attitude.
Collaborate closely with colleagues, clients, and suppliers to ensure the highest standards of service.
Person specification
Essential Skills and Experience
Experience in providing exceptional administrative support, ideally in a service-based industry.
Proficiency in MS Office applications, including managing multiple Outlook calendars.
Strong organisational, problem-solving, and multi-tasking abilities.
Good verbal and written English skills, with accurate spelling and grammar.
Professional telephone manner and ability to answer and process numerous enquiries daily.
Team-oriented mindset with the ability to build effective relationships.
Experience of planning logistical elements, such as permits and traffic management.
