We are looking for a highly organized and customer-focused Plant Hire Coordinator to join our plant hire team. The ideal candidate will play a critical role in the hire desk, coordinating the daily operations of equipment hire and transport while ensuring excellent service delivery to our clients. This position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
Customer Enquiries:
Handle incoming customer enquiries via phone, email, and in-person, providing information on available equipment, pricing, and rental terms.
Hire Coordination:
Process hire requests, create arcuate hire contracts, and ensure the timely delivery and collection of equipment.
Booking Management:
keep up to date the booking system to ensure accurate scheduling of equipment, avoiding conflicts or overbooking.
Order Processing:
Raise and process purchase orders, Hire agreements, and invoices, ensuring all documentation is accurate and up to date.
Customer Relationship Management:
Maintain strong relationships with clients by providing outstanding customer service, resolving any issues promptly, and following up on customer satisfaction.
Operational Support:
Liaise with the transport and logistics team to coordinate equipment deliveries and collections, ensuring smooth operations.
Inventory Management:
Monitor stock levels of equipment, report shortages, and coordinate with the management to maintain appropriate inventory levels.
Administrative Duties:
Handle general administrative tasks such as filing, record-keeping, and data entry, ensuring the hire desk runs efficiently.
Sales Support:
Assist the sales team by providing them with accurate information regarding equipment availability, pricing, and terms.
Compliance:
Ensure all hire transactions comply with company policies and industry regulations, including health and safety standards.
Issue Resolution:
Address any customer complaints or disputes in a professional and timely manner, escalating issues to management when necessary.
Reporting:
Prepare and maintain reports on hire activities, equipment utilization, and customer feedback for management review.
Qualifications & Experience:
Experience:
Previous experience in a hire desk, customer service, or administrative role within the plant hire, construction, or equipment rental industry is preferred but not essential.
IT Proficiency:
Competency in using hire management software, CRM systems, and MS Office applications (Excel, Word, Outlook).
Communication Skills:
Excellent verbal and written communication skills, with the ability to interact professionally with customers and colleagues.
Organizational Skills:
Strong organizational abilities with a keen attention to detail and the capacity to manage multiple tasks simultaneously.
Problem-Solving:
Ability to quickly address and resolve customer queries and issues in a calm and efficient manner.
