Job Description


The Digital, Data & Technology Services (DDTS) Portfolio Standards & Insight Team is part of the DDTS Enterprise Portfolio Management Office. We provide guidance to projects and programmes on management standards which need to be adhered to plus produce insightful reports leveraging data from across the Portfolio. We are recruiting a Portfolio Support Officer to join the team. In this role you\'ll work with the team in reviewing, embedding and monitoring the adoption of the standards; this includes planning, financial and risk management amongst others. You will be involved in the maintenance of our web-based guidance library, contribute to the formation of management information reports, responding to internal stakeholders as well as inputting into improvement projects from providing support services such as minutes, actions through to implementation of actions where applicable. Your role will involve working collaboratively with a variety of stakeholders across the Digital Delivery function and wider teams in DDTS. Person specification Responsibilities:

  • Use and recommend to internal staff the agreed project control standards for planning, scheduling, managing and tracking projects.
  • Provides first-line guidance on project management software, procedures, processes, tools and techniques, escalating to senior team members where needed.
  • Supports portfolio control boards, project assurance teams and quality review meetings including providing administrative services; this can range from contributing to team email question & answer services for internal stakeholders through to the implementation of team operational actions where applicable.
  • Contribute to the team\xe2\x80\x99s Portfolio standards improvement activities.
  • Produce basic management insight reports and contribute to the production of complex insight reports by the team.
Skills and Experience:
  • You\xe2\x80\x99ll be familiar with the use of portfolio management as a tool for managing organisational change and have experience of project support or project management.
  • You can demonstrate experience of applying project controls including the use of scheduling / planning software, and provision of software guidance to others.
  • Have a working knowledge and practical experience of working with a wide number of stakeholders in achieving shared outcomes.
  • You\xe2\x80\x99ll be familiar with governance frameworks across a Portfolio and at project delivery level and be familiar with working within such a framework.
  • You\xe2\x80\x99ll have a working knowledge of budgeting and cost management across projects of varying complexity and across a Portfolio.
  • You can demonstrate experience of contributing to improvement activities.
  • Have experience of forming project or portfolio reports, ranging from project level reports and artefacts through to Portfolio wide analysis.
