Post Completion Administration Manager

Job Description

This role involves but is not limited to:

Managing and leading the Post Completion (Assistance Service) Administration function. Overseeing the allocation of completed files to the Post Completion Teams. Managing the storage and retrieval of paper files and physical post for the offshore Post Completion Teams. Overseeing the scheduling and closure of files for the offshore Post Completion Teams. Requesting files from archive, accessing files and posting documents for the offshore Post Completion Teams. Ensuring files are updated with notes, dates and evidence of the Post Completion processes as may be necessary. Liaising with Fee Earners regarding the Post Completion Assistance Service. Documenting and escalating common issues and risks. Ensuring effective management of incoming emails and phone calls within the Post Completion Assistance Service. Delegating and supervising general administrative duties including photocopying, filing and printing. Providing guidance, training and ongoing support to the Senior and Junior Post Completion (Assistance Service) Administrators. Being the point of contact and escalation point for Senior and Junior Administrators. Managing team performance, workload allocation and resourcing to meet service levels and deadlines. Leading on process improvements and ensuring compliance with internal procedures and external requirements. To assist the Head of Post Completion Operations with monitoring the work undertaken by the Post Completion Teams.

Requirements:



Conveyancing knowledge and understanding of the post completion process Competent in Microsoft Excel Strong analytical skills Ability to work well independently and as part of a team Ability to mange own workload Confident and professional at verbal and written communication Ability to work to deadlines Ability to take ownership and resolve issues
