The Role
This is more than a traditional administrative position. As Practice Administrator, you'll play a central role in keeping the practice running smoothly supporting operations, strengthening internal culture, ensuring seamless coordination, and serving as a reliable point of contact for clients, partners, and the wider team.
You'll work closely with the partners and staff, manage day to day administrative and operational activities, assist with client-facing tasks, and take the lead on organising practice-wide initiatives, events, and processes that keep the business moving forward.
Key Responsibilities
Administrative Responsibilities
Greeting clients and handling incoming calls and enquiries
Managing emails, post, and general correspondence
Maintaining client records and updating internal systems
Preparing engagement letters, onboarding documents, and client files
Document management: scanning, filing, archiving
Supporting accountants by booking meetings, chasing client information and preparing simple reports
Diary management and scheduling
Managing office supplies and general office maintenance
Managing client feedback and satisfaction
Managing Website and Social Media
Manage hiring process and onboarding
Other tasks as required
Finance Duties
Internal bookkeeping tasks, including entering invoices and receipts
Processing client records (sales, purchases, bank statements) under supervision
Manage debt collection and credit control
Preparing payment runs and checking supporting documentation
Raising and sending client invoices and statements
Monitoring and recording payments received
Reconciling simple accounts (bank, supplier, petty cash)
Preparing financial reports or summaries for senior staff (training provided)
Office Operations:
Manage the day-to-day running of the office, including supplies, systems, suppliers, and facilities. Keep everything (and everyone) organised and on track.
Client Liaison:
Act as a key point of contact for clients -- coordinating communications, meetings, and supporting relationship management. Build trusted relationships and contribute to our high-touch service style.
Project & Document Support:
Assist the team with formatting, assembling, and finalising client-facing documents
Culture & Team Experience:
Champion our internal culture -- organising staff events, supporting wellbeing, onboarding new joiners, and helping to maintain our positive, people-first working environment.
Event Planning:
Coordinate firm events, including our annual retreat, quarterly meetups, and occasional client functions.
