Practice Manager
to support our operations and contribute to our strategic objectives.
Role Summary:
The Practice Manager will play a key leadership role in ensuring the efficient and effective day-to-day management of the clinic's Admin & Reception Team. The successful candidate will also be responsible for a range of business functions including ISO quality compliance, building maintenance, health & safety management and service contracts.
Key Responsibilities:
Quality Management:
Maintain and develop ISO quality management systems; ensure the clinic remains compliant with standards and regulatory requirements.
Coordinate internal audits and support external inspections as required.
Operational Management:
Management of the clinic Admin & Reception Team
Oversee building maintenance and liaise with relevant contractors to ensure high standards are maintained.
Lead and develop standard operating procedures for the clinic.
Oversee management of IT with support from outsourced IT provider.
Manage all service contracts, ensuring cost-effectiveness and performance compliance.
Health & Safety / Risk Management:
Develop, implement, and monitor health & safety policies and procedures in accordance with legislation and best practices.
Lead on risk management, including risk assessments, audits, and incident investigations.
Maintain records of general incidents and ensure appropriate actions are taken to mitigate future risk.
Complaints & Incident Handling:
Act as the first point of contact for non-clinical complaints and incidents.
Ensure all complaints are investigated and resolved in a timely, professional, and sensitive manner.
Maintain accurate logs and report trends or recurring issues to the senior management team.
Other Duties & Responsibilities:
Step in to support and cover for other Team members as required.
Complete any other duties as assigned by the Management Team.
Participate in staff meetings in a positive and constructive way.
Be willing to undertake further additional or specific training as directed by the Management Team.
Maintain personal and professional responsibility to report abuse or poor practice to Management that may affect a safe environment for any patient, visitor or staff member.

Person Specification:
Essential Criteria:
Proven relevant experience in a business or operational management role, ideally within a healthcare or regulated environment.
Evidence of having undertaken ISO training and practical experience of ISO management.
Experience of health & safety management.
Experience of facilities management.
Qualifications in business management / health & safety / quality management.
Strong leadership and problem-solving skills with a proactive and hands-on approach.
Excellent communication and interpersonal abilities.
Strong organisational and project management skills.
Ability to handle sensitive information and resolve complaints professionally.
Desirable Criteria:
Experience working within a clinical or private healthcare setting.
Familiarity with healthcare compliance and regulatory frameworks.
