The Practice Manager is responsible for the overall leadership and day-to-day non-clinical management of 2 predominately private dental practices in Glasgow, ensuring safe, efficient and patient-centred services. The post-holder will lead and support practice teams, maintain compliance with all relevant healthcare regulations and professional standards, and drive high standards of patient care, operational performance and financial sustainability across the group.
Key responsibilities
Leadership and people management
Provide visible leadership across all practices, setting expectations, modelling professional behaviours and fostering a positive, collaborative culture.
Line-manage practice leads and administrative teams; oversee recruitment, induction, rota management, performance reviews, and conduct/absence processes in line with company policies and employment law.
Support clinical leaders (principals/clinical directors) in workforce planning, succession planning and staff engagement, ensuring teams are well supported to deliver safe, high-quality care.
Clinical operations and patient care
Oversee day-to-day operational workflows (reception, chair utilisation, appointment book management, patient flow) to maximise access and minimise waiting times.
Ensure practices consistently deliver a high standard of patient experience, including effective communication, complaints handling, and adherence to GDC "Standards for the Dental Team" and NHS Terms of Service where applicable.
Coordinate cross-site initiatives such as recall systems, referral processes, emergency/urgent care arrangements and infection prevention and control protocols.
Governance, compliance and risk
Ensure that each practice complies with relevant legislation, national guidance and regulatory standards (e.g. GDC standards, NHS Scotland requirements, health and safety, data protection, radiation, decontamination).
Maintain robust policies, SOPs and audit cycles across the group; monitor incident reporting, complaints, and patient feedback, leading improvement actions where required.
Support preparation for inspections, clinical governance meetings and external audits, ensuring accurate records and evidence are available.
Financial and business management
Work with owners/directors to develop and manage practice budgets, monitor income and expenditure, and deliver agreed KPIs (e.g. Item of Service delivery, chair time utilisation, wage % and overhead control).
Oversee billing, claims and debt management processes (NHS and private), ensuring accurate reporting and timely resolution of payment issues.
Identify opportunities to improve efficiency, grow revenue and control costs across all practices, including optimisation of diary management, stock control and supplier contracts.
Staff development and change management
Plan and coordinate training and development for staff,
Lead or support service - development projects (e.g. new services, digital systems, process improvements), engaging teams and managing change effectively across multiple sites.
Communication and relationship management
Act as a key liaison between practice teams, owners/directors and external partners (NHS Boards, labs, suppliers, regulators).
Facilitate regular cross-practice meetings, sharing best practice and ensuring consistent standards and processes across the group.
Person specification
Essential
Proven experience as a Dental Practice Manager or multi-site manager in healthcare, ideally within Scottish dental services.
Strong leadership and people-management skills, with experience supervising teams and handling HR processes.
Demonstrable understanding of dental practice operations, patient pathways and regulatory requirements (e.g. GDC standards, NHS Scotland dental regulations, data protection, health and safety).
Experience of budget management, interpreting financial reports and delivering against performance targets.
Excellent organisational, problem-solving and communication skills, with the ability to prioritise and manage competing demands across multiple locations.
Desirable
Experience managing multiple practices or departments.
Familiarity with Scottish NHS dental contracts, practice management software and audit frameworks.
Relevant management or leadership qualification (e.g. ILM or similar).

Background in nursing or acute care settings is advantageous; veterinary or hospital experience is a plus for diverse practice environments
Ability to handle complex administrative tasks related to human resources, medical administrative support, and clinical operations
