Job Description

Pathhead Medical Centre is a forward-thinking, patient-focused GP practice committed to delivering high-quality healthcare to our community. We are seeking a dynamic, experienced, and highly motivated Practice Manager to lead our team and support the strategic and operational development of the practice. Pathhead is located around four miles southeast of Dalkeith and 11 miles south of Edinburgh. The Medical Centre is at the south end of the village, located on the A68 which provides direct access to the Edinburgh city bypass and a regular bus service north and south along the A68. Known for its scenic countryside and local path network, the village also has good local amenities including a local bakery, shop, and Post Office.

The Role As Practice Manager, you will be responsible for the day-to-day management and strategic planning of the practice. You will work closely with the GP Partners to ensure the smooth running of all business, financial, HR, IT, and patient service functions, enabling clinicians to focus on patient care. You will lead a multidisciplinary team, manage resources effectively, and ensure compliance with all statutory and NHS requirements. This is a key leadership role requiring vision, resilience, and excellent interpersonal skills.

Job Purpose To provide strategic, financial, and operational leadership to the practice, ensuring high quality patient care, efficient business operations, and compliance with all legal and regulatory requirements. The Practice Manager will work collaboratively with the Partners to deliver the practice's vision and objectives, manage change, and support staff development. Key Responsibilities Strategic Management & Planning

Lead strategic planning and development of the practice.

Update and develop the Practice Development Plan.

Formulate and implement objectives in collaboration with the Partners.

Monitor performance and manage change effectively.

Keep abreast of NHS developments and assess their impact on the practice, developing business plans for any new changes as required.

Represent the practice in external meetings and build collaborative relationships. Patient Services & Communication

Ensure compliance with NHS contractual obligations.

Develop and maintain practice protocols and procedures to ensure smooth and efficient working

Plan and manage staff capacity to deliver all key operational tasks

Manage appointment systems, planning capacity to balance demand and safe-working.

Facilitate patient feedback and manage concerns & complaints as per agreed process.

Promote inclusivity and alternative communication methods

Engage with patient groups and community organisations to seek feedback to help plan and develop practice services

Maintain effective internal and external communication.

Represent the practice professionally and promote its values. Finance

Manage all aspects of practice finances including budgeting, payroll, pensions, and accounts.

Maximise income from GP contracts and enhanced services.

Liaise with accountants and prepare year-end documentation.

Monitor financial performance, escalate any identified risks in a timely way to the GP Partners, and implement remedial actions.

Ensure compliance with financial regulations and insurance requirements. Human Resources

Lead recruitment, induction, appraisal, and training of staff.

Ensure compliance with employment law and good HR practices., including PVG registration.

Ensure all staff employment contracts are consistent and complete.

Manage staff performance, grievances, and disciplinary procedures.

Identify and de-escalate conflict in a timely way.

Ensure staff are facilitated to keep mandatory training up to date.

Undertake annual staff appraisals and performance reviews, identifying appropriate opportunities for skills development as needed for business development.

Promote a positive team culture and effective communication.

Ensure mechanisms for improving staff wellbeing, including considerations for mental health and womens' health/menopause. Information Technology

Oversee IT systems, data protection, and information governance.

Ensure GDPR compliance and liaise with DPO as needed.

Maintain and update the practice website and digital communications.

Support staff in IT training and usage.

Stay abreast of available software options, and develop business proposals for systems or software would deliver return on investment in terms of efficiency and patient experience. Premises and Equipment

Oversee maintenance, security, and safety of practice premises.

Implement Fire Safety procedures.

Manage contracts and liaise with NHS Lothian and Medical Centres Scotland.

Maintain an accurate building maintenance log, with planned cycle of necessary works, including external maintenance.

Support the GP Partners with planning for and mitigations against dilapidations and potential lease transfer.

Plan for equipment upgrades or additions. Risk Management & Governance

Lead on health and safety, clinical governance, and risk management.

Monitor legal and regulatory compliance.

Maintain and update the practice Business Continuity Plan and ensure appropriate mitigations in place.

Take the role of practice Operational Lead in the coordination and deployment of resilience plans in the event of any expected distruptions.

Manage significant events and ensure continuous improvement.

Deliver training in health and safety and ensure safe working environments. Teaching & Training

Liaise regularly with National Education Scotland (NES) to plan and provide operational support to GP Trainees allocated to the practice.

Oversee appointment diaries to ensure adequate GP protected time for supervision, tutorials & assessments.

Support preparation for Training Inspections.



Job Types: Full-time, Permanent

Pay: 45,000.00-60,000.00 per year
