We're seeking a
Production & Project Coordinator
to join our Newcastle team. This is a full-time role at the heart of our operations--coordinating people, resources, schedules, and budgets to ensure our projects are delivered at the highest standard. While primarily office-based, some onsite work will be required.
What you'll do
Coordinate crewing and allocate full-time, casual, and contract staff to projects
Approve timesheets and support workload/leave planning with HR and the Head of Delivery
Assist with recruitment--including advertising roles, interviewing, and onboarding administration
Prepare and review production schedules, plans, budgets, and forecasts
Book and manage resources such as equipment, freight, vehicles, contractors, hotels, and flights
Coordinate project plans--timelines, milestones, deliverables--and track progress
Generate reports on budgets, crew time, profit/loss, and budget vs actuals
Maintain project documentation including contracts, quotes, permits, and client communications
Act as a key point of contact for selected projects, ensuring clear communication with clients and stakeholders
Work closely with the Australia-based Production Coordinator to balance workload and share resources
Support workplace health & safety documentation (including project SWMS)
About you
You'll be a great fit if you:
Are proficient with
Mac OS
and online scheduling/reporting/project management software
Have excellent organisational skills and the ability to juggle multiple priorities
Are proactive, self-motivated, and able to work independently
Communicate clearly and confidently--both written and verbal
Have experience in entertainment production (live events, theatre, etc.)
or
have recently completed a related tertiary course
Can travel domestically and internationally, with a clean criminal record
Have knowledge of, or willingness to learn, workplace health & safety practices
