Northland Controls Limited is seeking a Project Admin to join our team in Letchworth, UK.
Project Administrator responsibilities include working closely with our Project Manager to prepare comprehensive action plans, including resources, timeframes and budgets for projects. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you'll collaborate with clients and internal teams to deliver results on deadlines.
Ultimately, the Project Administrator's duties are to assist the project manager to ensure that all projects are completed on time, within budget and meet high quality standards.
Proactively support and assist Project Managers in the delivery of projects across various account portfolios.
Serve as the definitive source of project progress information by providing clear and timely project planning support.
Assist with cost estimations and preparation of project proposals.
Initiate procurement requests promptly and track project-related materials to ensure supplier delivery dates align with project schedules.
Coordinate logistics and track deliveries to ensure materials reach local service providers (LSPs) or project sites efficiently.
Support Project Managers in engaging with LSPs and coordinating installation schedules.
Support the Project Manager with change order management, including documentation, tracking, and communication of changes to scope, schedule, or cost.
Monitor and maintain the project portfolio to ensure it is consistently updated with relevant and accurate information.
Take full responsibility for internal and external project close-out procedures, ensuring completeness and compliance.
Follow up on project close-out information and communicate with the Finance team to facilitate timely invoicing.
Perform general administrative duties such as CRM data entry and managing project documentation and folder structures.
To ensure prompt completion of personal timesheets, expenses, project tracker reports and any associated paperwork on a weekly basis.
To work in compliance with the Company's Health and Safety standards and requirements; with the safety of self and others in mind at all time.
To maintain confidentiality and be sensitive to client's security requirements.
Such other duties as the management may from time to time reasonably require.
Experience in a customer facing commercial environments.
Proven organizational skills.
Practical aptitude
Commercial awareness
IT literacy, preferably in MS Office. Specifically, high level of knowledge in MS Excel.
High quality of work and a 'can do' attitude.
Proactively develop and contribute to, processes and procedures in a team environment
