Project Administrator | \xc2\xa325,000 | Monday - Friday | 9:00 - 5:00

We are seeking a skilled Project Administrator to provide comprehensive support to our Project Manager in delivering multiple exciting projects across the UK and Middle East. Key Responsibilities:

  • Capture meeting notes and assist the Project Manager in following up on action items to ensure seamless project execution.
  • Organise domestic and international travel and accommodation arrangements, ensuring smooth logistics for our team.
  • Conduct research to support specific project requirements, providing valuable insights and contributing to project success.
  • Assist with logistics arrangements, liaising with suppliers, tracking shipping timelines, and promptly reporting any delays to keep projects on track.
  • Process quotes and orders, ensuring accuracy and timely delivery of project materials and resources.
  • Support in the preparation and tracking of project schedules, maintaining visibility and accountability for project milestones.
  • Liaise closely with the Operations team, HR, and suppliers, fostering effective communication and collaboration to achieve project goals.
  • Provide support with IT queries, ensuring smooth operations and resolving issues promptly to minimise disruptions.
  • Sort expenses and reconcile credit card purchases, keeping meticulous records and maintaining financial accuracy.
  • Manage invoices for UK and Middle East Operations, ensuring timely processing and maintaining financial integrity.
  • Assist the Project Manager with ad hoc duties to ensure the smooth functioning of daily operations.
Qualities and Skills Required:
  • Proficiency in MS Office Suite, with excellent computer skills to effectively manage project documentation and communication.
  • Outstanding interpersonal and communication skills, allowing you to collaborate seamlessly with colleagues at all levels.
  • Superb organisational skills, enabling you to juggle multiple tasks and prioritise effectively.
  • Problem-solving prowess, initiative, and a proactive approach to overcome challenges and ensure project success.
  • Ability to work independently, meet strict deadlines, and stay motivated even in a fast-paced environment.
  • Keen attention to detail and accuracy in documentation, maintaining high standards of quality in all tasks.
  • A team player with a can-do attitude, fostering a positive and collaborative work environment.
  • While project experience is desirable, we are also open to candidates who are eager to learn, as comprehensive training will be provided.
