Role Overview



The Project Coordinator is a central, technically capable role within the Projects team, acting as the backbone that underpins estimating, planning, and delivery of live events and technical production projects.

This role bridges the gap between sales, project management, warehouse, and onsite delivery. The Project Coordinator supports technical estimating and specification, ensures projects are thoroughly prepared, and provides hands-on support during site delivery where required.

The role suits someone highly organised, technically minded, and comfortable taking ownership of detail in a fast-paced production environment.

Key Responsibilities



- Act as the central coordination point for the Projects team, ensuring information flows clearly and accurately

- Support Project Managers with planning, preparation, and execution of projects

- Be the operational backbone of the Projects function, maintaining structure, consistency, and follow-through

Estimating & Technical Support



- Support technical estimating and project specification during pre-production

- Assist with equipment selection, system design, and scope definition across audio, lighting, video, power, and structures

- Prepare technical summaries, draft equipment lists, and supporting documentation for quotes and tenders

- Ensure estimates are operationally viable, accurately resourced, and aligned with delivery constraints

- Work closely with Sales and Project Managers to refine scope and clarify assumptions

Project Planning & Coordination



- Coordinate crew, transport, and equipment scheduling using HireHop

- Prepare and issue detailed project paperwork including schedules, crew packs, RAMS, and site information

- Liaise with freelancers, suppliers, and internal departments to confirm availability and logistics

- Track changes to scope, timings, and logistics, ensuring all updates are communicated clearly

- Maintain accurate and up-to-date project records

- Optimise asset utilisation and address equipment shortfalls through efficient and competitive cross-hire solutions

Site Delivery Support



- Provide onsite support during load-ins, show days, and derigs where required

- Act as a technical and logistical support resource for Project Managers and crew onsite

- Assist with problem-solving, coordination, and information flow on site

- Support adherence to health & safety standards and method statements

Post-Event & Commercial Support



- Support post-event reconciliation, including delivery notes, supplier invoices, and unplanned resource allocation.

- Assist with tracking labour, transport, and supplier costs against budgets

- Capture feedback, lessons learned, and improvements for future projects

Person Specification



Skills & Experience



- Experience in live events, technical production, AV, staging, or production operations

- Strong technical understanding across one or more disciplines (audio, lighting, video, power, or structures)

- Ability to read and understand technical specifications, drawings, and system designs

- Excellent organisational skills with strong attention to detail

- Confident communicator with the ability to work across departments

- Comfortable working under pressure in live environments
