We're looking for an enthusiastic and adaptable Administrator to join our Aberdeen-based team. This permanent position is ideal for someone early in their career with a passion for organisation and a willingness to learn across a wide range of functions.
In this multi-faceted role, you will provide critical support across document control, engineering administration, marketing coordination, and general office tasks. You'll work closely with project managers, technical teams, and leadership to help deliver complex, multi-national projects across a range of industries--including energy, infrastructure, and industrial operations.
Key Responsibilities
Project & Document Support
Maintain and manage project documentation in line with company and client standards using SharePoint and related systems.
Support technical teams with document formatting, version control, and internal approvals.
Track and update document registers and coordinate timely submissions to stakeholders.
Engineering Administration
Assist with scheduling, meeting coordination, and action tracking for engineering and project meetings.
Support preparation of reports, presentations, and technical packs using Microsoft Office.
Liaise with contractors, suppliers, and internal staff to support project deliverables.
Marketing Coordination
Help manage company website content, social media posts, and email campaigns.
Assist with creating marketing materials, including proposals, brochures, and branded templates.
Support the coordination of events, webinars, and conference participation.
General Office Support
Oversee daily office operations, including ordering supplies, coordinating visitors, and liaising with partners and vendors.
Maintain team calendars and provide general administrative support to the wider team.
Support onboarding/offboarding of staff with IT, facilities, and documentation.
What We're Looking For
Essential:
1-3 years of administrative experience, ideally within an engineering, technical, or project-based environment.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience using SharePoint for document management.
Strong organisational skills with attention to detail.
A proactive attitude and willingness to learn new systems and tasks.
Desirable:
Exposure to multi-industry projects or clients, including international teams.
Experience with marketing tools (e.g., Mailchimp, Canva, or similar platforms).
Familiarity with formatting and editing documents to corporate standards.
