The Role (flexible hours available)



This is a key support role at the heart of our studio operations. You'll work closely with the Studio Manager and wider team to manage logistics, liaise between departments, and help guide projects from initial briefing to final delivery.

Key Responsibilities



Coordinate logistics and shipping for a variety of creative projects, including export documentation and improvements to packaging for both efficiency and sustainability Support Project Managers by following up on briefings and acting as a key liaison between clients, internal teams and external partners Assist with research, procurement, and day to day coordination across the project lifecycle Build and maintain strong relationships with suppliers and contractors to ensure high quality service and timely delivery Communicate with clients where necessary, providing project updates, clarifying briefs, and contributing to outstanding outcomes Assist with costing and quoting: follow up on quotes, book in projects, and ensure project data is accurately entered into our systems Request purchase orders and supply required information for invoicing in collaboration with our Finance Team Support preparation of risk assessments and method statements for off site projects Coordinate freelance or temporary personnel for project fulfilment and delivery Maintain up to date records of suppliers, contractors, insurance details, and compliance documentation (including vehicle records, tolls, and ULEZ requirements) Manage travel and accommodation arrangements for project team

What we are looking for



Excellent organisational and administrative skills Ability to work flexibly and effectively in a fast-paced, evolving environment Strong multitasking capabilities and attention to detail A genuine interest in creative production and supporting creative teams Confident using Microsoft Office and project management tools Experience with logistics and project coordination Familiarity with booking travel and accommodation Previous experience supporting installations or production-based projects is highly desirable

Participate in team and board-level discussions as needed Help maintain Studio equipment and advise on restocking or upgrades Foster strong working relationships with clients, collaborators and suppliers Actively contribute to the development of company systems and processes Share knowledge with colleagues and support cross-functional tasks as required Represent TonyG with professionalism and enthusiasm in all settings Commit to ongoing personal development to meet the evolving needs of the business
