Job Overview


We are seeking a Project Support Officer to coordinate administrative activities associated with the Renewable Energy Research Initiative (RERI) within the Secretariat of the IWC.

This includes the administration of funding applications, contracts, finance, and reporting related to research projects on offshore renewable energy developments and their potential impacts on cetaceans.

The role will also support the Steering Group and Technical Advisory Group (TAG) that decide on the distribution of funds and oversee the overall initiative within the IWC.

Initially the role will liaise with the programme's Steering Group and TAG to develop a grant call to address 5 research themes including passive acoustic monitoring, aerial surveys, disturbance and ecosystem impacts.

Upon the disbursements of funds, the role will be the main focal point for project leads, ensuring reporting deadlines are met, funds are received and keeping the Steering Group and other stakeholders updated on progress and/or issues.

Key Roles & Responsibilities



Provide support to the Steering and Technical Advisory Groups. Assist with meetings of the groups, setting agendas, rapporteuring and producing summary reports. Develop and manage the contracts, distribution process for grant funds, ensuring timely and accurate disbursements. Maintain thorough documentation of disbursement decisions and communications. Support a thorough, independent expert review of applications to ensure high quality science, alignment with programme goals and value for money Review milestone reports and manage milestone payments to ensure alignment with grant terms and conditions, including disbursements and financial management. Liaise with project leads to ensure timely reporting Keep the programme Steering and Technical Advisory Groups informed of progress and/or issues.

Person Specification



Batchelors Degree in Public Administration, Finance, Accounting, Non-profit Management or related field. Excellent written and oral English and the ability to produce text in a variety of formats (e.g. Commission papers, reports, funding proposals). Excellent interpersonal skills. The ability to work in a politically sensitive environment and to engage with stakeholders from many fields and diverse cultural backgrounds. Excellent organisational skills and the ability to work on multiple concurrent projects, recognise and respond to shifting priorities, and handle different types of information. Meticulous with excellent attention to detail to ensure high quality outputs. A proactive approach, high level of initiative and a willingness to drive projects forwards. Knowledge of Grant management and financial processes. Demonstrated understanding of reporting schedules and project management Experience of supporting/overseeing grant review processes. Experience of doing thorough expert reviews of applications. Experience of working on multiple concurrent projects. Experience working across different technical disciplines e.g. science, policy, finance. Experience of working with budgets and of allocation and prioritisation of resources. Experience in organising and convening meetings, workshops and groups.
