Job Summary
To act as the first point of contact within the Projects team and to assist with the smooth running of the department.
Main Responsibilities
To act as the first point of contact within the Projects team for all admin-based duties/enquiries.
Raising jobs specific to the nature, CAT. A, B, C, D & carrying out all tasks relevant to each category.
Raising & issuing sub-contractor orders & purchase orders.
Creating quotes & variations as requested by Projects Management Team.
To assist with compiling the operations & maintenance manuals.
To collate construction phase plans for all projects that are to be compliant with CDM 2015 regulations and create all site sign in documents, signage, toolbox talk folders and anything else relative to that project.
Allocation of workstream to a team of operatives.
Checking of timesheets and tracking system.
To keep all electronic project folders up to date with latest information i.e. RAMS, instructions, email correspondence, variations, toolbox talks, O&M information as requested by supervisors/managers.
Checking & approving sub-contractor and supplier invoices, dealing with any queries that may arise.
Building finance reports on completion of each job to track incoming and outgoing costs.
Accessing client systems/portals to upload documents specific to job/client.
Keeping the job tracker sheet updated with the latest information such as new jobs, contract uplifts, new purchase orders received etc.
Checking of engineers/site paperwork to ensure the information is correct and chasing engineers for missing paperwork.
Producing client RFI'S and tech subs as requested by managers/supervisors.
Monitoring stationary stock and ordering as and when required.
Dealing with any petty cash/expense/mileage claim forms, checking all information is correct and issuing to payroll.
Assisting with setting up new clients and raising new sites.
Assisting with the setting up of new sub-contractors/suppliers.
To assist with RLO (Resident liaison officer) duties as and when required, attending site visits/meetings.
To ensure that all work is completed to the required company standards.
To assist the contract managers/supervisors with any day-to-day administration tasks.
To carry out any other reasonable duties as required.
