Job Description

The event assistant role is responsible for supporting the events and marketing services team to deliver the exceptional experiences, products and services offered by Insurance Insider to our customers across our portfolio.



Insurance Insider delivers world class conferences and meetings, awards ceremonies and digital services to

insurance industry clients predominantly in the US and UK.

The role is divided into two parts.






Logistics -

Two thirds of the role will focus on managing logistics and delivering on client contractual expectations for our range of video products including online video, in person video at events, themed topical video series and video panel discussions.

Client & Stakeholder Management -

One third of the role will focus on managing the client experience for our live events including customer services, attendee management and liaison, supporting the administration of our live events, working with suppliers and generally supporting the needs of our customers and internal stakeholders

Key Responsibilities




Video Oversight and management of the schedule for all video product within a tracking sheet. Recording and regularly maintaining the status, revenue, scheduling, communications, client details and delivery of all video output. Delivering contracted video products for each customer through direct and regular liaison with clients, updating them on the status of their video and arranging their attendance at either in person video recordings or online. Arranging all logistics and scheduling around the delivery of video products including locations, times and dates, contacts and suppliers to ensure exceptional customer experiences and quality of output. Working with suppliers to deliver video products including videographers, editors, graphic designers and venues. Sending the videos to clients for approval before publishing; communicate approval to marketing team for campaign to begin. Managing and recording all related costs from suppliers. Clear and regular communication with all relevant stakeholders including customers, suppliers and internal colleagues. Work with the marketing team on the promotion of client's video output, delivering on client expectations and against contract deliverables. In-person video production will require international travel to the USA and Europe as well in the UK Customer Services Communicating event attendance details to all attendees of our live events including times, dates, venues, accommodation, dietary expectations, accessibility requirements and other general instructions. Responding to incoming client queries relating to their attendance at our events which can range from enquiries about dress codes to venue access requirements. Management of registration at conferences including badge printing, attendee changes, welcoming attendees at the registration desk and ensuring their welcome experience is high quality, friendly and helpful. Developing positive relationships with customers and internal stakeholders, working with the events team to find solutions for client concerns. Event Management Support Attending all our live events when required including events in the USA, Europe and in the UK. Supporting the Event Manager and Head of Event Operations with any relevant administrative requests which could range from sourcing specific suppliers for an event, administering a response tracking sheet for dietaries requests for a dinner or researching accommodation for staff.



Required Qualifications




Minimum of A-Level standard education or equivalent qualification Demonstrable experience in managing spreadsheets and other Microsoft Office software


Desirable Experience/ Qualifications




Ideally some experience in similar or related role in project administration or event logistics A desire to be working in corporate and B2B media and events. The candidate will be looking for their second job role Any experience in event or video operations and administration will be preferred



Working Conditions




Office hours are

9am to 5.30pm with flexibility where needed

| Hybrid 2 days in the office per week

Smart casual when not client faces, business attire when client facing * Able to travel several times a year to the US, mainly to attend our events in New York City but other cities in the US may be required as well as very occasional travel to Europe
