We are adverting a position for Property Administrator/Personal Assistant to the Director of multiple companies.
The purpose of this role will be to provide a high level of administrative support to a Director of multiple businesses. The role will consist of general day-to-day admin duties i.e. scanning and filing as well as within other sections of the business. In the day-to-day activities and support them to meet their operational, commercial, and professional objectives. Dealing with other colleagues within the business group to assist in meeting business objectives.
Key Responsibilities:
Diary and mailbox management, ensuring that times are planned and managed to enable maximum effectiveness and productivity.
Scanning and filing of large volumes of various correspondences and ensure they are filed correctly to the cloud as well as filing in the physical folders.
Able to use Outlook Calendar to organise and schedule in meetings for the director.
Run errands for Director as & when required.
Ability to record/track issues and take minutes at meetings for the director.
Administrative duties as and when they arise, writing letters, dealing with internal and external clients and general administrative duties.
To be the first point of contact for enquiries from internal or external customers, meeting and greeting clients, processing, and replying to sensitive and confidential correspondence on behalf of the company.
Ability to work with other team members, managers, and external clients.
Project managing any required actions with directors.
File and maintain data in accordance with GDPR, business procedures, agreed to standards and service levels, ensuring records are accurate and up to date.
A successful candidate will be:
At least 1 year experience in a similar role
Ability to work independently and alone in the office.
Quick learner and willingness to learn where required
Excellent attention to detail alongside first-class organisational skills having gained experience working within a similar role supporting senior management.
Have experience liaising closely with Directors
Self-reliant with the ability to work under your own initiative.
A high level of professionalism, pro-active and outstanding communication skills and maintain confidentiality
Fully competent with using the Microsoft suite.
The ability to work under pressure and changing priorities is essential.
Bilingual useful but not essential
UK Drivers Licence useful but not essential
