Overview


We are seeking a dedicated and detail-oriented Property Administrator to join our team. The ideal candidate will play a crucial role in the management and administration of our property portfolio, ensuring that all operations run smoothly and efficiently. This position requires strong organisational skills, excellent communication abilities, and a proactive approach to problem-solving.

Responsibilities



Carry out all procedures relating to the day to day running of a busy Property Letting and Management agency. Market properties through various channels such as online listings, social media, and print advertisements. Respond to enquiries from prospective tenants in a timely manner Register applicants and arrange property viewings. Carry out viewing appointments with prospective tenants in a courteous and friendly manner. Process applications through the referencing process, ensuring all actions are responded to promptly. Provide excellent customer service to clients throughout the renting process Prepare and manage all tenancy documentation and ensure legal compliance. Preparation and submission of HMO licensing documents. Completion of Fire Risk Assessments as required. Assist with the undertaking of floor plans and Legionnaires Risk Assessments. Assist with the accounts team to ensure landlord, tenant and contractor ledgers are updated and correct. Utility Management. Coordinating property maintenance and overseeing deposit negotiations. Ensure all relevant documentation such as inventories, renewals etc are added on to the system. Dealing with day-to-day general enquiries face to face, via the phone, email, WhatsApp and in house messaging system. Coordinate and oversee property maintenance, including logging, tracking, and resolving maintenance issues promptly. Coordinate move ins, move outs, deposit disputes, inspections, viewings and inventories across the portfolio. Ensure property compliance such as EICR's, gas safety and EPC certifications Ensure full compliance with relevant legislation, including the Landlord and Tenant Act and Housing/Rent Acts, as well as internal company standards. Keep respective property files and computer records up to date. Issuing Legal Notices accordingly to active tenancies in the legal time frame. Work closely with the maintenance team to arrange repairs and ensure completion to a high standard. Assist the maintenance team during the busy changeover period. Carry out interim property inspection, reporting findings to landlords and tenants as appropriate and dealing promptly with any repairs or breaches of tenancy. Carry out check in and check out appointments, dealing with end of tenancy negotiations, arranging the return of tenant deposits and handling disputes within the guidelines and timeframes required by the Tenancy Deposit scheme regulator. Maintain an up-to-date knowledge of relevant health and safety legislation and best practice. Comply with ARLA best practice and agreed Company Standards and procedures regarding all aspects of work.

About You:



Previous property management and lettings experience would be beneficial. Experience with property management software systems would be beneficial. Excellent written and verbal communication skills to effectively interact with customers, colleagues, and other stakeholders. Ability to negotiate in a positive and friendly manner. Ability to manage multiple tasks effectively in a high-paced environment Excellent IT knowledge with experience of using Microsoft Office packages. Confident, articulate, and passionate about delivering great customer service. Organised, with excellent attention to detail and the ability to meet deadlines and solve problems efficiently and effectively. Cooperative, professional team player. Ability to work independently and as part of a team. Good problem solver. Good Numeracy skills. Genuine high attention to detail. Full UK driving licence is essential.
