We are seeking a detail-oriented and proactive Property Management Administrator to join our team. This role is essential in ensuring the smooth operation of property management activities, providing administrative support, and enhancing tenant satisfaction. The ideal candidate will possess strong organisational skills and be proficient in data entry.
Providing assistance and support to the Property Manager on all property management issues.
Help manage the property portfolio in order to maximize office income including the retention of properties and clients.
Liaising with Landlords, Tenants and Contractors to ensure issues are resolved in a timely and cost effective manner whilst maintaining high standards of customer service and communication with all parties.
Arranging repairs in order of priority and in accordance with the Martin & Co Terms of Business.
Dealing with face to face, telephone and e-mail enquiries.
To ensure all managed properties comply with current legislation with regards to: gas safety, smoke and carbon monoxide alarms, fire and furnishings, electrical safety, EPCs and legionella.
Ensure the office diary system and maintenance schedule is kept updated of all maintenance issues, reminders, inspections and checks.
Handle out of hours answer phone and maintenance queries as and when required.
Attending properties where necessary for visits, access or viewings.
Updating and monitoring the software ensuring accuracy of data and ensure the property management notes are completed accurately and timely to ensure accuracy.
Be responsible for organising of all safety checks of properties and ensure copies of all documentation are kept on file and updating Jupix accordingly.
To ensure the property is ready for move-in and arranging any maintenance works pre-let if required.
Carrying out pre-checks at the properties to familarise with the properties, location of stopcocks, fuseboards etc.
Arranging property visits with tenants when required.
Deal with any council tax, utilities queries and provide accurate recording information to all parties.
Carrying out regular key audits.
Routine spot checks on files.
Chasing overdue rent payments when required.
Handling any complaints from Landlords, Tenants and contractors.
Ensuring the contractors are compliant and insured.
Monitor contractors' performance and approve and submit invoices for onward payment by the accounts department.
Ensure that GDPR rules and regulations and business and office security measures are adhered to at all times.
Informing your Line Manager of any ideas which may improve performance and efficiency.
Filing in office/basement/storage unit.
Attend training courses as and when required or necessary to improve standards and knowledge base.
From time to time, perform duties outside of this job description reasonably requested of you.
Main Objectives:
Maintain the level of service and quality standards set out by Martin & Co
Demonstrate high standards of professionalism, courtesy and efficiency when dealing with the public and clients.
Manage the property portfolio in order to maximize, retain and grow the client base.
Provide careful and considerate advice as and when necessary.
To operate within the confines of the Housing Acts and Lettings Legislation and be aware of changes.
To operate and exceed the standards set out by the industry regulatory bodies.
Additional Responsibilities as and when required:
Register applicants and ensure that all relevant information is taken and, where necessary book in viewings for the Lettings Negotiator.
Handle enquiries from Landlords and record new landlord and property details and pass onto the Lettings Negotiator.
Liaise with tenants, landlords and contractors regarding move out and deposit return and any required maintenance works.
