You will be joining one of the largest Real Estate Investment Trusts in the world as we rapidly expand into the UK and European markets, including moving into new offices at 3 St. James's Square. Position Overview:
The Property Management Analyst is responsible for providing administrative, clerical, and special project support to the Property Management team. This includes supporting multiple property managers within a large portfolio of properties.
Key Responsibilities:
Property Management Tasks: Take on a variety of property management tasks, ensuring our operations run smoothly and efficiently.
Special Projects: Dive into special assignments, showcasing your problem-solving skills and creativity under general supervision.
Policy Implementation: Help roll out policies and procedures that drive efficiency and excellence.
CapEx Administration: Play a key role in managing major works and capital expenditure projects, contributing to the growth and enhancement of our portfolio.
Vacant Unit Management: Oversee vacant units, handling everything from business rates and utilities to security, repairs, and maintenance.
Lease Review: Conduct thorough lease reviews to ensure compliance and identify opportunities for improvement.
Tenant Applications: Review and process tenant applications for consents, such as licenses to alter, sublet, wayleave agreements, and events, facilitating seamless tenant experiences.
Inspection Coordination: Coordinate and conduct property inspections, ensuring high standards of maintenance and safety.
Financial Collaboration: Manage invoices and work closely with the finance team to ensure timely payments, accurate processing, and effective cost allocation.
Work Order Monitoring: Keep an eye on work orders and purchase orders, regularly updating Property Managers on status and progress.
Asset Value Enhancement: Support Property Managers in preserving and increasing the value of company assets through strategic initiatives.
Communication Management: Handle incoming post, create Letters of Authorisation (LOAs), verify addendums, and draft welcome letters.
Fee Tracking: Track Property Management fees and ensure timely generation of invoices.
Compliance Management: Issue letters of non-compliance and manage tenant obligations, ensuring adherence to agreements.
Ground Rent Management: Oversee ground rent payments, maintaining accurate records and timely payments.
Insurance and Damage Administration: Handle insurance queries and property damage administration, ensuring efficient tracking and resolution.
Tenant Support: Respond to tenant requests for information, providing exceptional customer service.
Business Rates Administration: Support third-party business rates advisors with accurate and timely information.
Arrears Management: Assist in escalating rent and service charge arrears, ensuring effective resolution.
Scheduling and Travel Coordination: Assist with scheduling meetings and travel arrangements, ensuring seamless logistics.
Dilapidations Administration: Provide support in managing dilapidations, ensuring compliance and timely resolution.
System Updates: Keep property management systems up-to-date, ensuring accurate and current data.
Sustainability Initiatives: Support sustainability initiatives, contributing to our commitment to environmental responsibility.
GDPR Compliance: Ensure all data handling and processing activities comply with GDPR regulations.
Vendor Liaison: Work with external supply partners, building surveyors, and third-party property managers to ensure effective collaboration.
Service Charge Management: Oversee service charge management, ensuring accurate and timely processing.
Internal Reporting: Prepare and deliver internal reports to meet business needs, providing valuable insights and data.
Additional Duties: Take on other duties as assigned, contributing to the overall success of the team.

Suitable experience in a commercial real estate or commercial property management related role either from consultancy or client side.
Demonstratable experience of commercial real estate documentation including leases (understanding their various components), licenses to alter/subleases etc..
Use Excel to an intermediate level, able to analyse, manipulate and present data to stakeholders.
Ability to execute and handle a large volume of work, meet deadlines, and work under pressure
Excellent coordination, organisational, and administrative skills
Excellent communication and written skills
Ability to perform with frequent interruptions and/or distractions and establish and maintain cooperative working relationships with co-workers
Ability to work independently and identify potentially more effective methods of work as well as adjust priorities quickly as circumstances dictate without explicit instructions
Desirable but not essential:
Real Estate Bachelor's degree (or equivalent work experience) is preferred
RICS qualification advantageous
2nd European language skills are helpful
Systems experience of either Salesforce or Yardi
