We are looking for a Property and Admin Assistant to join our diligent Property Management team.

Our team strive to provide exceptional customer service for our landlords, tenants, and contractors. Whilst no two days are ever the same: what remains consistent is always the need for thorough and proactive communication. The Property Management team are critical in providing a smooth journey for our landlords and tenants. You will act as the primary point of contact for enquiries and provide vital assistance to the senior Letting and Property Managers.

You must be highly organised with excellent communication skills across a varied demographic, have excellent customer service skills and be capable of managing a complex and varied workload.

The successful candidate will be an integral part of the Lettings team during an exciting new phase for the business. Lewis & Foy with support career progression to ambitious individuals.

Company/ Team Overview



Lewis and Foy Lettings are a rapidly growing Lettings and property Management Business. We manage 350+ properties for UK and Overseas landlords. We like to provide a premium service to our clients, built around excellent communication and working in a timely manner. The business has a vibrant, ambitious culture with strong foundations.

Situated within our Baltic Triangle Office, you will be working within a team of 6 office staff, alongside colleagues within our maintenance team and external contractors.

Key Responsibilities Of The Role



In this role, you will be assisting the team and;

Front-of-House & Communication

Enquiry Handling: Field incoming phone calls and emails, providing professional service to all customers. Applicant Qualifying: Manage incoming enquiries and match applicant needs to suitable properties. Diary Management: Coordinate viewings and appointments to ensure effective office operations.
Tenancy Administration

Application Processing: Carry out credit and reference checks for new tenancy applications. Documentation: Prepare and execute tenancy agreements, move-in packs, and renewal notices. Compliance Tracking: Monitor and arrange for inventories, gas safety certificates, EICRs, and EPCs. Utility Management: Set up and close down utilities at the beginning and end of tenancies. Deposit Handling: Manage tenant deposits in accordance with legal and regulatory requirements.
Maintenance & Portfolio Support

Key Control: Book keys in and out for contractors and agents. Maintenance Assistance: Log maintenance requests and assist in coordinating repairs with contractors. Property Records: Maintain accurate and up-to-date digital and physical property records. Inspections: Organise inventory and check-out appointments and distribute reports to relevant parties.
In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time.

Skills, Knowledge And Experience



You will receive comprehensive training on your role giving you the chance to flourish, however, we are ideally looking for somebody that already has the following skills, knowledge and experience:

Confident and positive outlook with a questioning mind Resilient, positive, organised, numerate and detail oriented Ability to remain calm and professional when dealing with challenging situations Excellent verbal and written communication skills IT literate (MS Office, internet, email systems) Capacity to multi-task and work well under pressure both individually and as part of the wider team Ability to build relationships and recognise when to consult others, quickly establishing trust and credibility Confidence to deal with a diverse range of tenants and landlords both verbally as well as in writing A driving licence & own transport is required for this role.

Desirable Qualities



Previous experience in a customer-focused or administrative environment. An interest in the property sector and a desire for career progression.
