The post holder will provide support to Finance and School Office, including day to day purchase ledger tasks and administrative support. The successful candidate will be expected to meet high standards, be organised and pay attention to detail.
The role is a permanent, full-time position
The post is located at The Unicorn School, reporting to The Assistant Bursar.
Main Duties & Responsibilities
Purchase ledger duties:
Order goods and services following authorisation system and monitoring spend to budgets
Maintaining the purchase ledger including processing supplier invoices, account for VAT, preparing payments and dealing with queries. Process staff expenses. Reconcile monthly credit card statement. Record petty cash transactions termly.
Oversee deliveries and returns for goods/services
Assist with financial audit as required by Bursar
School office duties:
Meeting, greeting and signing in visitors
Making tea and coffee for visitors when required
Receiving and directing incoming calls, answering general queries
Receiving and signing for deliveries
Supporting with pupil transport updates
Opening and directing incoming post - processing outgoing post
Ensure reception is kept tidy.
Assist with daily pupil registrations/absences: using the school MIS (management information system)
Scanning, printing & copying documents where required
Arranging repairs for office equipment (photocopiers, replacement toner cartridges etc)
Keeping the stationary cupboard/office resources stocked
Ordering staff uniform and kit
Cover Office Administrator as required
Acting as first aider to pupils, staff and visitors where required, liaising with staff & parents when a child is unwell (training can be provided)
