Purpose/Summary



Reporting to the Head of Brand Relations, the primary focus of this role, is to ensure to lead our purchasing operations, working closely with our brand partners to ensure we have the right stock, at the right time, for our customers.

Key Accountabilities



1. Purchasing & Supplier Management

Place purchase orders in line with sales trends, promotional activity, and minimum order requirements for all stock. Build strong, collaborative relationships with our brand partners, ensuring smooth ordering processes and timely communication. Manage all stock ordering processes, including but not limited to gifts with purchase, samples, edit boxes, content activity stock and new brand launches. Track purchase orders through to delivery, resolving issues such as delays, shortages, damages, or faulty stock and communicate any issues to the appropriate internal teams.
2. Inventory Management & Forecasting

Monitor stock levels regularly, ensuring the right balance of inventory to meet demand without overstocking. Proactively review and update minimum stock levels based on sales performance and seasonal trends. Work closely with the wider team to remove discontinued or out of stock products from the website promptly. Highlight slow moving stock to members of the brand team so action can be taken.
3. Process & System Management

Maintain accurate internal records, including supplier information, minimum order quantities (MOQs), and delivery schedules. Monitor Out of Stock, liaising with Brand Management and report on the commercial impact. Support inventory audits, investigate stock discrepancies, and contribute to process improvements. Provide timely updates to the Customer Service team regarding stock availability and delivery ETAs. Monitor and develop internal processes and systems in line with business changes and new technological solutions.
4. Cross-Functional Collaboration

Work alongside the Brand Team on promotional planning and stock requirements. Liaise with the Ecommerce, Dispatch and Customer Services teams to ensure a seamless customer experience. Work closely with the Stock Controller to manage and address purchase order and stock issues.

Person Specification



Essential:



Experience in purchasing, procurement, supply chain, or stock management. Knowledge of stock management systems and comfortable working with internal software and Excel. Strong relationship management skills, with experience working with external suppliers. Ability to analyse sales data and inventory reports to inform purchasing decisions. Organisational skills and attention to detail. Strong communication skills, both written and verbal. A proactive, solutions-focused approach to managing stock and supplier issues.
Computer literate and ability to use software and in house systems

Team player

Flexibility in terms of role, supporting the wider business

Willing to work flexible hours to include weekends, bank holidays and evenings, if required

Desirable:



Experience working within skincare, beauty, or consumer goods industries.
Positive attitude with high level of motivation, initiative and creativity.

Enjoys working under pressure

An interest in skincare, beauty, or health and wellbeing products.
