We are seeking a proactive and detail-oriented Purchasing Assistant to join our dynamic team in Southampton. This is a fast-paced role that involves daily interaction with suppliers, couriers, and internal departments. The successful candidate will support the Senior Buyer in ensuring the timely procurement and delivery of components and materials critical to our operations.
This position is ideal for someone with strong organisational skills, a confident communication style, and a keen interest in supply chain and manufacturing environments.
Responsibilities :
Support the Senior Buyer with day-to-day procurement activities and supplier coordination.
Monitor and expedite delayed shipments, short deliveries, and outstanding orders to ensure timely receipt of goods.
Liaise with suppliers, logistics providers, and internal teams to resolve delivery and quality issues.
Issue RFQs (Requests for Quotation), purchase orders, and maintain accurate stock and procurement reports.
Verify and input supplier documentation, ensuring compliance with internal standards.
Track and schedule deliveries, updating stakeholders on lead times and potential delays.
Identify and recommend opportunities for cost savings and process improvements.
Build and maintain strong working relationships with external factories and supply partners.
Manage the procurement of office supplies, kitchen stock, and stationery in line with approved processes.
Provide administrative support across departments, including data entry, filing, and reception duties.
Respond to information requests from the Accounts Department and other internal stakeholders.
Candidate:
Highly organised, enthusiastic, and able to manage multiple priorities effectively.
Strong attention to detail with an analytical and problem-solving mindset.
Excellent verbal and written communication skills.
Flexible, proactive, and team-oriented with a "can-do" attitude.
Familiarity with manufacturing processes and production environments is advantageous.
Proficient in MRP/ERP systems and Microsoft Office applications.
