Job Description

Purpose of the Role



We require a Purchasing Manager with deep expertise in sourcing green coffee beans, cafe fit-out equipment, and packaging materials for both domestic and export markets. This role is central to ensuring our expansion into a national chain of cafe-roasteries operates with cost-effective, reliable, and ethically sourced supplies, enabling consistent product quality and compliance with UK and international standards.

Key Duties and Responsibilities



1. Strategic Procurement Planning



Develop and implement purchasing strategies for green coffee beans, roasting equipment, cafe furniture, packaging materials, and ancillary cafe supplies. Align purchasing plans with the company's multi-site expansion schedule, ensuring timely and cost-effective delivery. Establish procurement budgets and monitor spending against approved targets.

2. Supplier Identification & Negotiation



Identify and assess suppliers both in the UK and overseas, with a particular focus on coffee-producing countries aligned with our brand's flavour and sourcing strategy. Negotiate long-term contracts and supply agreements to secure competitive pricing and reliable delivery schedules. Build strong supplier relationships to ensure priority access to high-quality materials and products.

3. Quality & Compliance Assurance



Work closely with quality control and production teams to ensure purchased goods meet required specifications and comply with UK food safety regulations and international export standards. Conduct regular supplier audits to verify ethical sourcing, sustainability practices, and compliance with applicable laws.

4. Cost Analysis & Risk Management



Analyse market trends, commodity price fluctuations, and exchange rates to manage procurement risks. Develop contingency supply plans to safeguard operations against market volatility, transport delays, or crop shortages. Recommend process improvements for cost efficiency without compromising quality.

5. Cross-Department Collaboration



Collaborate with the Production Manager to ensure equipment purchases match operational requirements. Work with the Marketing Manager to align packaging procurement with brand guidelines and market expectations. Support cafe opening teams by sourcing appropriate furniture, POS systems, and operational supplies for each location.

Essential Qualifications & Experience



Minimum 5 years' experience in procurement or supply chain management within the food & beverage, hospitality, or FMCG sectors. Proven track record in international sourcing, particularly from coffee-growing regions. Strong negotiation skills and experience managing multi-supplier relationships across different time zones and regulatory environments. Knowledge of UK food safety and import regulations, plus export compliance requirements. Ability to analyse market data and implement cost-control strategies.
Job Type: Full-time

Pay: 50,000.00-55,000.00 per year
