ASDAN is an education charity and awarding organisation providing courses, accredited curriculum programmes and regulated qualifications to engage, elevate and empower learners with diverse needs.

We have an exciting new role for someone to support the valuable work of ASDAN in an administration capacity. Reporting to the Quality Manager, the

Quality Administrator

will support the Quality and Qualifications team with administrative tasks, as well as liaising with centres, external consultants and the wider ASDAN team.

Our goal is to engage learners through relevant and motivating courses to achieve meaningful learning outcomes, which elevate them to go on to further education, training and work, and empower them to take control of their lives. We do this by developing courses with an accessible and practical pedagogy for learners; and by supporting our partner educators to foster the personal, social and work-related abilities of learners with diverse needs.

We believe that learners should have the opportunity to discover, develop and make use of their abilities to affirm their identities, contribute to society, and challenge educational and social inequalities.

Applicants will be working a hybrid arrangements, with no less than 50 per cent of their working week from our Head Office in Bristol and the remainder from home. Our preference is that this a full time, 37.5 hour week role, although we might consider reduction to a four-day week or similar arrangements for the right candidate, please indicate on your application form if you are seeking reduced hours.

Conditions of service:



Contract: Permanent

Salary: 24,215 (pro rata if otherwise to full time is agreed)

Hours of work: Full time - 37.5 hours, 5 days per week (unless otherwise agreed)

Pension: Scottish Widows: Post holder has option of two levels: level 1 employee 3%/ employer 6% or employee 6%/ employer 9%

Leave entitlement: 24 per annum days initially, rising an additional day per year to max 32 days, in addition to statutory bank holidays.

Location: Hybrid, not less than 50% Bristol office based

Job purpose


Reporting to the Quality Manager, the Quality Administrator will support the Quality and Qualifications team with administrative tasks, liaising with ASDAN's members, external consultants and the wider ASDAN team.

Key responsibilities


1. Support with the day-to-day activities of the Quality and Qualifications Team.



2. Liaise with External Quality Assurers (EQAs), supporting administration of quality assurance activities including postage and invoicing/timesheets.



3. Provide support for the external quality assurance and awarding of Project Qualifications each series.



4. In common with all staff.



Key duties



1. Support with the day-to-day activities of the Quality and Qualifications Team



Provide administrative support with the external quality assurance (EQA) requirements for the Quality and Qualifications Team.

Administer the processes and systems for booking Approval and Quality Assurance Review meetings.

Maintain a register of copies of assessment and internal quality assurance (IQA) samples for training and standardisation. Scanning and redacting of these when required.

Assist with the preparation of materials for training and standardisation sessions delivered by the Quality and Qualifications Team.

Support the administration, including checking, of data submissions to qualifications regulators.

Maintain the data submissions calendar to support the Quality Manager with on-time data submissions.

Support the Quality Manager by administering EQA support, training and planning.

2. Liaise with External Quality Assurers (EQAs), supporting administration of quality assurance activities including postage and invoicing/timesheets.



Checking and logging monthly timesheets and invoices for EQAs.

Liaise with EQAs and centres around the return of portfolios after postal sampling activities.

Setting up meetings, sending communications and answering administration-related queries from EQAs.

3. Provide support for the external quality assurance and awarding of Project Qualifications each series.



Assist with the administration of candidate registration and centre marks and support the quality assurance of the final mark inputs.

Administrate the awarding, centre standardisation and External Moderators (EM) standardisation meetings.

Liaise with ASDAN's Centre Support Team and Quality Team to provide support with certificate printing, checking and other duties as required.

To uphold and promote ASDAN's Equality and Diversity policy and practices, respect the unique contribution of every individual and work positively in an environment that promotes equality and diversity.

To ensure awareness of and compliance with all health and safety requirements in accordance with the provision of health and safety legislation.

To keep up to date, so far as is necessary, for the efficient execution of the role, with new legislation, procedures and methods.

To comply with the requirements of GDPR (General Data Protection Regulation) and follow good practice with regards to the security and confidentiality of information.

To present an appropriate professional image of ASDAN.

This job description may change as ASDAN develops, following discussion and agreement with the post holder. The post holder will be expected to adopt a flexible approach to ensure the efficient and effective running of ASDAN. The post holder will have full opportunity to discuss and be active in changes or developments.
