We are looking for an experienced Reception Manager to join our friendly GP surgery, helping us provide the very best service to our patients. As the front of house for our surgery, the reception team is often the first point of contact for patients. Your role will be to lead and support this team with different skills base and experience, making sure things run smoothly, patients feel welcomed and cared for, and staff feel supported and valued and to ensure that the reception staff deal with patients with kindness, sympathy and respect at all times and to investigate and learn from any complaints made about them.

The successful applicant will work alongside our Operations Manager and be actively involved in HR management of the reception team, continuous improvement of reception services, and communication with patients, the clinical team and other care providers. The successful candidate must be able to work on their own initiative and have management/supervisory experience, along with strong IT skills. You must be organised, confident and flexible and have a friendly and approachable manner and can work under pressure.

We are a 10,000 patient GP Surgery established across two sites who would like to appoint a dynamic forward thinking Reception Manager to manage our reception team in our busy fast paced GP surgeries based near Woodbridge. Previous NHS and TPP SystmOne experience would be highly advantageous.

The successful applicant will need to be available to work during the core hours of 08.00am - 6.30pm Monday to Friday. If you are unable to work during these hours then please do not apply. The position is full time (37 hours a week) although 30+ hours per week wold be considered.

Duties and Responsibilities:



Working closely with our PCN colleagues and assisting with managing and implementing centralized systems Aim to achieve business objectives, uphold business values and attain personal goals. Provide day-to-day support, leadership, training, first line management and guidance for the practice reception team ensuring efficient and professional manner is maintained. Ensure all reception duties are accurately, timely and effectively completed ensuring patient care is delivered at a high level. Monitoring, record and action staff attendance, sickness absence and annual leave in line with practice policies. Ensuring contingency plans are in place for leave, including unforeseen absence. Support operations manager with recruitment, retention and inductions of all reception staff. Motivate reception team to achieve business objectives, uphold business values and personal goals. Collect accurate and timely activity and performance information on all reception staff, reporting weekly figures to Operations Manager and Practice manager. Highlighting any achievements and actioning/ monitor any development needed. Conduct regular one-to-one meetings with all reception staff, annual staff appraisals and regular full team meetings. Ensuring actions and changes are recorded and shared with the wider practice team, consult with non- clinical and clinical operations manager for feedback. Support Operations manager and administration team to identify areas for improvement including technology and assist with any changes. Review appointments booked daily are with appropriate healthcare clinician - example Physio injury booked with Physio and not GP. Follow, update and review reception protocol, reception policies and procedure documents regularly with Operations Manager To undertake specific assigned task, project support or development work which may arise during changes to the NHS. Manage the room allocation board with support from Admin. Publish Reception rota 6 weeks in advance Mandatory training
Qualifications & Education

A level or equivalent qualification Relevant experience in team supervision and/or management Off- and on-the-job training through management training schemes SystmOne or GP surgery experience
