We are seeking a proactive and organised Reception Supervisor to oversee daily operations within our Front Office. The ideal candidate will possess strong administrative skills, excellent communication abilities, and the capacity to manage multiple tasks efficiently. The Reception Supervisor will be responsible for all Front Office operations, ensuring smooth operational flow, supporting staff, and maintaining high standards of service.
Duties
Supervise daily administrative functions, including data entry and record keeping
Coordinate schedules and manage staff rotas to ensure adequate coverage
Handle customer enquiries via phone and email with professionalism and courtesy
Utilise Microsoft Office and Google Workspace tools for reporting, correspondence, and documentation
Maintain organisation of office supplies and equipment, ensuring operational efficiency
Assist with financial tasks such as invoicing
Support the management team in implementing policies and procedures
Provide training or guidance to new staff members as required
Ensure compliance with organisational standards and health & safety regulations
Skills
Proven office experience with strong organisational skills
Proficiency in computer skills including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Experience with Hotsoft is desirable.
Strong administrative experience with a focus on clerical duties
Exceptional phone etiquette and communication skills
Ability to multitask effectively in a fast-paced environment
Organised approach to workload management with keen attention to detail
