Job Description

Inchmarlo House is currently recruiting for a permanent Receptionist working 3 days out of 7 which will include every second weekend, shift times are (9.00-7.00pm) Experience in Microsoft Office are preferred but full training will be given.

Scope and general purpose of job

:

Provide an efficient reception, telephone service, and a confidential clerical service. Receive and greet all visitors to the Home in a friendly and welcoming manner promoting good public relations and direct them to the appropriate person. Promote the good name of the Care Home and the Retirement Village by carrying out all your duties politely and efficiently. All matters concerning the business will be treated with confidentiality. Cover the Reception Desk when required and also for holidays, sickness and occasional weekends. Shared work over the festive period is expected.

Key responsibilities and accountabilities:



Answer and transfer incoming calls from a very busy Switchboard in a pleasant helpful manner, taking and passing on any messages to the appropriate persons. Use Help call System. Handle confidential data including Service Users' medical status. Liaise with all Departments. Do cash-handling. Deal with documentation with regard to Admissions and Discharges. (Shared with Admin). Do computer input using Microsoft Office and Excel and document control. Type and do other general office work, including use of Fax and Photocopier machines. Manage bookings for Functions, Outings, Restaurant and general enquiries. Deal with and distributing all incoming mail. Ensure that reception colleagues and all office staff have up to date information on any changes to the day-to-day procedures. Send and respond to emails. Adhere to strict cleaning schedules.

General:



1. Report all compliments, comments and complaints.

2. Report any maintenance issues as required in a timely manner.

3. Understand and strictly adhere to the Rules & Regulations established in the Staff Handbook/s and the Company's policies on Fire, Hygiene, Health and Safety.

4. Respect the confidentiality of both Service Users and colleagues and to ensure that information of a confidential nature gained in the course of your duties is not divulged to third parties.

5. Report for duty punctually, wearing the agreed business attire at all times as per the Company Appearance Standards.

6. Maintain a high standard of personal appearance and hygiene at all times.

7. Maintain a good rapport and working relationship with other staff in the Place of Work and all other departments.

8. Attend all meetings, trainings scheduled, and other related activities as required.

9. Undertake any reasonable tasks and secondary duties as assigned by Management.

10. Respond to any changes in the place of work as dictated by the needs of the business.

Job Type: Part-time

Pay: 12.37 per hour

Expected hours: 28.5 per week
