Brighton College are seeking to appoint a Receptionist on a full-time, permanent basis.
Main Purpose of the Role:
The purpose of the role is to ensure the smooth running of Reception, including the College Switchboard. This position plays a key role in presenting the professional face of the College. With the other members of the Reception team the successful candidate will be "front line" for enquiries from parents, pupils, visitors and staff, acting as a support to the Senior Receptionist
General Duties and Responsibilities
Managing the switchboard, dealing with calls in a professional and friendly manner.
Welcoming visitors, parents, staff and pupils managing their queries effectively.
Accurate message taking and recording for distribution.
Arranging taxis for visitors, pupils and staff.
Providing tea and coffee for visitors and staff as required.
To manage the safe return home of pupils at end of day via taxi/in liaison with the Head of Transport.
Assisting with pupil registration using the College database.
Franking and arranging for post to be couriered.
Distributing post to relevant pigeonholes on campus.
Assisting with providing a Box Office facility for College and outside events.
Assisting with the keeping of various records - pupil absence/lateness, telephone lists and fire records etc - and updating the switchboard etc.
Ordering and managing stationery and other supplies.
Alongside the Senior Receptionist act as Deputy Fire Marshall during evacuations.
Managing confidential information with discretion.
To provide administrative support to other departments during the holidays as required.
Assisting on up to 8 Saturdays per academic year with Admissions events including Open Mornings and other College events, with time off in lieu.
Assisting with various conferences which may require an earlier start than normal hours.
Any other reasonable management request.

The successful candidate will have experience in the following areas:

Comfortable working in a busy customer-facing environment at all times.
Aware of the responsibility of representing the College to staff and visitors on the front desk.

Understanding of the continuous need for confidentiality, tact and discretion.
Smart and appropriately formally dressed.
Dependable with a strong work ethic and professional attitude. Technical Skills
Working knowledge of Microsoft Word and Excel.
Typing speed of 40 wpm (minimum).
Previous experience of working with databases.
Previous experience working as a receptionist / hotel front of house would be an advantage.
Knowledge of iSAMS (school database) would be an advantage, but training will be provided.

Hours of Work
The successful candidate will be required to work 37.5 hours per week. During term-time (35 weeks), the working hours would be 9.00am to 5.00pm on Mondays and 10.00am to 6.00pm Tuesday to Friday inclusive, with a 30-minute unpaid lunch break each day. Outside of term-time (17 weeks) the working hours would be 9.00am to 5.00pm Monday to Friday inclusive, with a 30-minute unpaid break. Occasional weekend work will be required to support College Open Mornings and Events, in which time in lieu will be given.
Remuneration
The salary for this role will be 26,247 per annum.
Holidays
23 days, plus bank holidays increasing to 28 days plus bank holidays after 2 years of service.
