About The Role
To ensure smooth day-to-day office operations, provide professional reception and administrative support and coordinate the organisation's Health, Safety & Environment (HSE) program. This role contributes to business success by fostering a safe, compliant, and welcoming work environment.
This is a newly established role within NextGear Capital, consolidating responsibilities that were previously shared across multiple office staff, thereby ensuring dedicated focus and improved efficiency in these key areas.
What You'll Be Doing
Be the first point of contact for visitors, clients and staff, creating a professional and friendly experience.
Manage emails and correspondence, ensuring smooth communication flow.
Oversee office administration: supplies, filing systems, equipment, and vendor coordination.
Schedule appointments, book meeting rooms, and support internal events.
Provide admin support to senior management and departments with reports, documentation and data management.
Support the rollout of health, safety, and environmental (HSE) policies and ensure compliance.
Deliver HSE inductions and assist with staff safety training.
Maintain safety records, incident reports, and risk assessments.
Coordinate inspections, drills, and audits.
Liaise with our contracted cleaner to ensure facilities are safe, clean, and welcoming.
What We're Looking For
Experience in office administration, receptionist/front desk roles, or HSE support.
Excellent communication, organisation, and multitasking skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Professional, approachable, and able to handle sensitive information with discretion.
Strong interpersonal skills with confidence to work across all levels of the business.
Ability to juggle multiple responsibilities across reception, office management, and HSE.
A natural "bridge builder" between staff, management and external partners.
