About Us
Western Vale Family Practice is a friendly, positive and forward thinking practice. Our main site, which is also our main administrative centre, is based in the health centre in Cowbridge and we have branch surgeries in Llantwit Major and St Athan.
We offer General Medical Services to over 13,500+ patients.
We currently have 8 Doctors, 3 pharmacists, 2 Advanced Nurse Practitioners, 4 Practice Nurses, a Healthcare Support Worker and a team of administrative and reception staff. We also undertake the vocational training of new General Practitioners, Pharmacists, Practice Nurses and Medical Students.

Job Summary:
Applicants must be able to work a range of shifts Monday to Friday between the hours of 8am-6.30pm (usually either 8-1 or 1-6 or 6.30pm)
Assist patients in person or via the telephone, to access appropriate information, advice, services or healthcare professionals in a helpful, efficient and effective way
Liaise with the multi-disciplinary team across the Practice sites and the wider NHS on behalf of patients
Undertake general administration duties as requested
Project a positive, confident and friendly image to patients and visitors at all times
Respond well to work pressure and use own initiative
Adhere strictly to the rules governing patient confidentiality
Be flexible in working days and hours
Support the ongoing development of the Practice.
Job Responsibilities:
Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
Deal with all general enquiries, explain procedures and make new and follow-up appointments
Using guidance, training, judgment and personal communication skills, ensure that patients are signposted to the most appropriate service or clinician within the Practice
Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed
Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of details and prompt delivery.
Enter requests for home visits into the appointment system, ensuring careful recording of all relevant details and refer on as appropriate
Action repeat prescription requests and ensure that they are ready for collection by the patient or Pharmacy within 48 working hours
Advise patients of relevant changes for private (non General Medical Services) services, accept payment and issue receipts for same
Enter or amend patient information on to the computer as required
Collate and process results for patients, ensuring patients are notified of any changes to their medication
Complete forms for the Nurse, Phlebotomist and Doctors as required
Ensure all pathology samples and internal mail are ready for collection by the appropriate courier
Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients
When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated
Maintain levels of equipment, stationery and general stock for clinical rooms, waiting room and reception area
Ensure that waiting and reception areas are clean and that all information displayed is accurate and up to date
Undertake any other additional duties appropriate to the post as requested by the Partners, Practice or Reception Manager

Experience and Skills
Previous experience in a GP surgery setting is preferred (ideally using EMIS clinical system)
Strong computer skills
Excellent phone etiquette and communication skills
Administrative experience with a focus on administrative tasks and data entry
Organisational skills to manage multiple tasks efficiently
Familiarity with office procedures

Pay: 12.50-13.33 per hour
Expected hours: 20 - 25 per week
