We are looking for a Part Time Receptionist/Admin person to join our Team for 24.5 hours per week
We are looking for an enthusiastic, motivated and caring individual with previous customer service, admin /GP Reception experience to join our small friendly busy reception/admin team, using modern facilities. Ideally with knowledge of SystmOne clinical system.
Hours required are from 8:30 - 18:00 Monday to Fridays. All day on Mondays with an hour lunch break then afternoons 14:00-18:00 Tuesday to Friday. We will need you to be flexible between these hours and provide some additional cover when others are on leave.
The ideal candidate must enjoy helping patients and solving any problems that they may have and have a genuine dedication to patient care and satisfaction. There is a lot of telephone call handling and helping people who come in to the surgery on the front desk. We need you to invite and call patients to clinics along with other Admin including scanning and processing documents, processing new patient registrations, etc as well as being on the front of Reception during the busy periods or when staff are on leave.
The candidate will have IT and keyboard skills and must be able to work under pressure and demonstrate exceptional team working skills. Exceptional interpersonal and communication skills (telephone, face-to-face) are essential.
You must also be flexible to cover during absences and annual leave and be happy learning new skills. A working knowledge of "SystmOne" clinical system is desirable but not essential.
Duties include but are not limited to:
Opening & closing procedures of the surgery premises in accordance with the Practice Protocol.
Invite and call patients to clinics as well as Receive patients to the practice and maintaining the highest level of confidentiality at all times.
Always demonstrate a friendly, compassionate, caring approach to patients.
Dealing quickly and efficiently with telephone calls and emails.
Processing repeat prescriptions in accordance with the Practice Protocol.
Processing requests, either by telephone or face-to-face, for appointments, telephone consultations and visits ensuring callers are directed to the appropriate healthcare professional.
Message taking for all members of the team.
Dealing with emergency situations as and when they arise.
Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures. Processing referrals
Registering new patients and temporary residents.
Distributing all incoming post and deliveries.
Filing paperwork on a daily basis.
Actioning patient letters/results as necessary ensuring patients are contacted and informed by telephone/letter.
Collecting fees from patients and issuing receipts.
Maintaining a clean tidy waiting area, including leaflets and notice boards.
Providing clerical assistance to Practice staff as required, including word/data processing, filing, photocopying and scanning
Re-stocking of consulting rooms and reception areas.
