The ideal candidate will be the first point of contact for our clients and visitors, providing excellent customer service and administrative support. This role requires a highly organised individual with strong communication skills, proficient in various office and computer software including our customer relations management systems and capable of managing multiple tasks efficiently.
Responsibilities
Greet and welcome visitors in a warm and professional manner.
Answer phone calls, manage inquiries, and direct them to the appropriate personnel.
Maintain a tidy reception area and ensure that all office supplies are stocked.
Perform data entry tasks accurately and efficiently using various dental software applications.
Assist with clerical duties such as filing, typing, and managing correspondence.
Utilise Exact and/or other similar software for scheduling appointments, managing calendars, and creating documents.
Support administrative functions as required to ensure smooth office operations.
Handle confidential information with discretion and maintain the highest level of professionalism.
Experience
Previous experience in a receptionist or administrative role within a dental setting is preferred but not essential.
Candidates with strong software skills will be at an advantage
Strong phone etiquette and interpersonal skills to interact effectively with clients and colleagues.
Excellent organisational skills with the ability to prioritise tasks in a busy environment.
Familiarity with general office procedures and clerical duties is advantageous.
A keen attention to detail and the ability to work independently as well as part of a team.
