Receptionist - Lettings Agency



We're looking for a friendly, organized, and proactive

Receptionist

to join our busy lettings team. As the face of our business, you'll create a warm first impression for visitors and clients, while keeping our front office running smoothly. This role is ideal for someone who enjoys people-focused work, takes pride in organization, and thrives in a professional, fast-paced environment.

As our business operates six days a week, including Saturdays, we are seeking candidates who are available and willing to work on Saturdays as part of their regular schedule.

Key Responsibilities



Client & Visitor Engagement



Be the first point of contact for all visitors, clients, and prospective tenants -- greeting everyone with professionalism and warmth. Provide information and assistance to walk-ins and phone/email inquiries. Represent the company's values and service standards in every interaction.

Communication Management



Answer and direct incoming phone calls, emails, and messages to the right team members. Relay key information promptly to letting agents and colleagues. Handle general correspondence and ensure clear, timely communication with clients.

Administrative Support



Schedule and confirm appointments, property viewings, and team meetings. Manage incoming and outgoing mail, deliveries, and documents. Maintain accurate and up-to-date client files, property listings, and databases. Assist in processing applications and preparing letting documents.

Office & Reception Management



Keep the reception area clean, tidy, and welcoming at all times. Organize meeting room bookings and assist with visitor registration. Monitor and replenish office supplies as needed.

Team Support



Provide day-to-day administrative support to the letting agents. Assist with marketing and property viewings Help update property listings and respond to potential tenant inquiries. Contribute to a supportive, collaborative office environment.

Skills & Qualifications



Customer Service:


Outstanding communication and interpersonal skills with a professional, approachable manner.

Organization & Efficiency:


Strong multitasking skills and attention to detail -- able to manage a variety of admin tasks effectively.

Technical Proficiency:


Comfortable using standard office software (e.g., Microsoft Office, email systems) and willing to learn property management platforms.

Professional Presentation:


Polished appearance and positive attitude, representing the business with confidence and warmth.
