Key Duties and Responsibilities
To observe total patient, doctor and staff confidentiality as per the terms and conditions of your contract.
To follow agreed Practice procedures.
To utilise the computer appointment system to ensure efficiency in monitoring the flow of patients into the consulting and treatment rooms.
To explain practice arrangements and formal requirements to new patients and those seeking temporary cover. Ensure procedures are accurately completed.
To advise patients of relevant charges for private services, accept payment and issue receipts for the same.
To respond to all queries and requests for assistance from patients and other visitors.
To enter requests for home visits on to the computer including relevant information and where necessary refer to the Duty Doctor.
To ensure all requests for prescriptions are actioned where possible within 2 working days.
Administrating the system for calling in patients.
To ensure reception and waiting areas are kept neat and tidy.
To ensure total familiarity with all the appointment system in effect, including regular and incidental variations.
To book appointments and recalls ensuring sufficient information is recorded to retrieve the medical records.
To monitor the effectiveness of the system and report any problems to the Senior Receptionist.
To ensure that all records (paper &/or computer as required) are accurately and correctly assembled for each consultation.
To retrieve and re-file paper medical records as required, ensuring that strict alphabetical order is adhered to.
To register new patients by completing the required paperwork and entering patient details on the computer database
To record accurately on the computer and paper records changes in personal details (e.g. address, telephone number) of patients.
To ensure the reception area is fully stocked with bottles, stationary, prescriptions and relevant forms.
To receive and make telephone calls as required.
To divert telephone calls and take messages as appropriate.
To ensure that the system is operational at the beginning of each day and switched over to the night service at the end of each day.
To make necessary preparation at the start of the day to receive patients.
To ensure the building is secured, the telephone system is diverted to the out of hour's service and internal lights are off.
To check and distribute incoming mail and deliveries
Contacting other organisations e.g. secondary care with straightforward clinical queries.
The making of refreshments for Practice Members as required.
To attend staff meetings and training.
Any other duties as requested by the Practice Manager considered appropriate to the post.
