Overall purpose of the job:
To act as "front of house" for the Exponential-e Ltd reception at the London HQ
To carry out a series of administrative tasks as requested
To manage & liaise with the cleaners
Booking & cost reconciliation of all travel for both Exponential-e and Vysiion
Key responsibilities for this job:
Provide reception duties and manage the scheduling of the externally facing meeting rooms.
Keep the reception area and meeting rooms tidy and presentable
Order breakfast / lunches for external meetings requiring food.
Work with the cleaning staff in advance of external meetings that need refreshments set up
To meet and greet all visitors on arrival at the London HQ, ensuring that Exponential-e staff are notified promptly of their visitor's arrival.
To answer calls that arrive at the reception desk and to pass to the appropriate staff member, or to take a message if the staff member is absent.
Deputise for Facilities Coordinator when out of the office (assist with Facility tasks, raising PO's and placing orders).
Booking & cost reconciliation of all staff travel
Monitor office stationary and place orders when necessary
To make hot drinks in the Cafe for external meetings hosted by the CEO and MD
Any other fair and reasonable task or duty assigned to you by your manager, or other senior Exponential-e Ltd staff member
Knowledge and experience required:
Well presented, someone who always presents a positive appearance of the company.
Hard working individual happy to carry out a broad range of tasks, often requested at short notice
Competent written and verbal communication skills
Strong timekeeping and able to arrive punctually each day
Trust and integrity with company expenditure including the use of corporate credit cards
An ability to seek approval from Managers and Directors on spend and to enforce policies where needed
Experience using Microsoft office software, including Word, Excel and Outlook)
