Role Overview
This is a key role in delivering internal and external customer service excellence for the London office, and ensuring the RLB ethos and culture is maintained. The role is an integral part of RLB London in ensuring the office runs smoothly by providing a first-class service.
Role Responsibilities
The individual will be an integral part of the London Administrative and wider team.Assisting the Office Operations Manager and Junior Office Manager as needed.
Booking visitors, service providers and deliveries onto the building management system.
Organising office events, socials, meetings and client events, overseeing and ensuring these run smoothly and to budget.
Tracking relevant office and events expenditure and budgets.
Managing Condeco and desk bookings.
Management of meeting rooms, including booking, preparing refreshments, clearing and replenishing rooms after meetings.
Ensuring the reception area and meeting rooms are kept immaculate and presentable at all times.
Ensuring meeting and office equipment is in good working order, liaising with IT where needed.
Keeping the office / kitchens fully stocked with supplies and ensure tidy and presentable throughout the day.
Booking couriers and arranging post.
Order and arrange refreshments and food for meetings and events.
Issuing office communications, keeping employees up to date where needed.
Booking travel and accommodation as needed via our travel agent online or direct.
Processing supplier invoices and liaising with the finance team.
Candidate Profile
Experience
The ideal candidate will demonstrate a positive proactive approach, and will be committed to delivering customer service excellence.Previous experience in a corporate receptionist role would be an advantage.
Excellent customer service skills.
High level of IT competency, MS PowerPoint, Excel, Outlook, and Word.
Pro-active, diligent, flexible, reliable, and enthusiastic.
Excellent multi-tasking skills.
Must always maintain a high level of discretion and confidentiality.
A high standard of personal presentation.
