Receptionist

Reception Supervisor, Operations Manager, Client

Job Role:

Receptionist working at the main front desk of Client. Managing meeting room bookings, welcoming guests, managing switchboard calls, performing a variety of administrative tasks daily, working in collaboration with all other departments to provide service excellence.



Duties:



Deliver a customer-focused reception service by greeting guests as soon as they arrive, and providing them a fond farewell, assisting with any onward journey. Ensure the reception area, meeting rooms and communal spaces are tidy and presentable. In conjunction with the reception team, complete regular floor walks and meeting room checks, logging any issues with the relevant teams and working together to resolve them efficiently. Answer phone calls with the correct agreed salutation and within 9 seconds. Transfer calls appropriately/take a message. Store all client belongings safely and securely, returning them upon their departure. Respond to/acknowledge all emails promptly. Provide handover to team members, ensuring seamless service throughout the day. Assist with stocking pantry as required. Ensure all hospitality is delivered into meeting rooms to standard. Ensure all external visitors are logged into the VMS. Liaise with postal/courier services as required. Log and deliver all post/items to corresponding staff. Provide other Ad-hoc admin support such as, but not limited to printing, photocopying, laminating, emails, filing and reports. Take part in suggesting new ideas, innovations, and concepts to enhance the front of house offering. Maintain health & safety standards in line with company policy. To ensure co-operation and helpfulness with all other departments. Focus on results, demonstrated by the personal drive for achievement in agreeing and meeting goals and objectives. Enhance and improve skills & knowledge by training & development benefiting ourselves, all staff, and our customers. All guidelines and procedures you will be able to find on the reception hard drive.

The ability to communicate effectively with all key stakeholders & partners including colleagues, staff, clients, suppliers, and customers in a multi-directional process. Confident and can work under pressure. Professional and hands-on approach. Warm and friendly attitude. Great written and verbal communication skills. Ability to be resourceful and proactive when issues arise. Excellent organisational and time management
