MAIN PURPOSE OF THE JOB:



Ensure all school safeguarding procedures are adhered to

To provide assistance to the Office in the day-to-day administration requirements of the school

To be responsible for greeting, welcoming and directing visitors to the school, both in person or by telephone

To manage internal and external post distribution for the school

RESPONSIBILIITES AND DUTIES:

At the direction of the Line Manager, receptionist duties including:



Manage the main school switchboard Screen, prioritise and field all incoming telephone calls. Act as first response to telephone queries/messages Greet visitors in professional manner, ensure they are directed to correct person Manage the school visitor system, ensure all visitors provide valid ID, if required, for safeguarding purposes Ensure visitor/staff list is printed in the event of school emergency evacuation Manage incoming emails ensuring correct onward transmission Answer internal queries from staff and students Manage and distribute incoming post; accept courier deliveries/parcels Manage outgoing post ensuring items are correctly franked and ready for collection Update and maintain medical room log and notify parents as necessary, update SIMS accordingly Prepare and manage Form folders in readiness for registration Look after lost property To oversee supervision of Student Receptionists Keep reception area tidy at all times Flexible hours required to cover late Reception duties/Events/Trips etc.

General duties:



Provide general administrative support with the production of routine correspondence, drafting documentation and school literature, taking minutes, office filing and archiving, preparation and co-ordination of school events, hospitality and refreshments, reprographics and any other administrative tasks as required by the Administrative Manager Assist with providing administrative support to Heads of Department and teaching staff Assist with the organisation and coordination of external and foreign student trips Assist with the answering of office telephone calls as necessary Assist with managing student registers, attendance and punctuality information including evacuation lists Administer first aid as and when required * Undertake any other duties as may be reasonably required by the Headteacher
