RECEPTIONIST JOB VACANCY - LINTON/LOOSE/HEADCORN SURGERY BRANCHES
We currently have a vacancy for a new receptionist. The successful candidate will be predominantly based at our Linton site but with the flexibility to work across all three sites. Days/Hours needed:
Monday- 8:30am-5pm, Tuesday 8:30am-5pm , Wednesday 8am-1pm and Friday 8:30am-6pm.
It is the responsibility of each receptionist to assist in the smooth running of the practice. It is important to project a positive and friendly image to our patients and other professionals who may contact us either in person or via the telephone.
It will be part of the day-to-day role to help facilitate patients accessing the clinical care provided by the practice and to support the GPs and nurses in providing that care. The reception team consistently acts as the first point of contact for anyone accessing the practice.
Qualifications:
Excellent phone etiquette and communication skills
Computer literate
Organisational skills with the ability to manage multiple tasks
Key Responsibilities:
To ensure that all visitors and telephone callers to the practice are greeted professionally.
To ensure all telephone calls are managed appropriately.
To manage the flow of patients arriving at the reception desk for appointments, prescriptions, or queries.
To ensure the clinical staff receive medical records as requested.
Greeting and booking in our patients for surgeries and clinics.
Dealing with patient enquiries efficiently and courteously.
The receiving and recording of telephone messages, taking appropriate action.
Filling out medical/admin requests using our online consultation form for future appointments from patients in person and on the telephone.
Dealing with all telephone queries/requests from patients and acting as a liaison with the doctors/nurses as necessary.
Receiving specimens from patients, ensuring all their details have been recorded while following health & safety policy.
Tidying the waiting room after surgery, ensuring premises are kept tidy between visits from the cleaning staff.

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff, and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
Information relating to patients, carers, colleagues, other healthcare workers, or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
Operate and ensure compliance with a whole team clear desk policy.
Ensure that all operation team members are familiar with finding and relaying test results to patients, as determined by clinicians.
Health & Safety and Security
The post-holder will implement and lead on the full range of promotion and management of their own and others' health, safety, and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include (but will not be limited to):
Ensuring operation team members adhere to their individual responsibilities for infection control and health and safety.
Maintaining an up-to-date knowledge of health and safety and infection control statutory and best practice guidelines, and ensuring that the operation team members adhere to their individual responsibilities.
Using personal security systems within the workplace according to practice guidelines
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across the business
Making effective use of training to update knowledge and skills and initiate and manage the training of others.
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards, and initiation of remedial/corrective action where needed.
Actively identifying, reporting, and correcting health and safety hazards and infection hazards immediately when recognised.
Keeping own work areas and general/patient areas generally clean, identifying issues and hazards/risks in relation to other work areas within the business, and assuming responsibility in the maintenance of general standards of cleanliness within reception areas.
Undertaking periodic infection control training.
Demonstrate due regard for safeguarding, reporting any concerns or incidents to the practice manager or practice safeguarding lead.
Ensuring that both the start and end of day protocols are adhered to.
Carrying out weekly fire alarm testing and completing the log.

Ensure that you and all the team are compliant and up-to-date in the required mandatory, statutory, and team-related training.
Take responsibility for your own development, learning, and performance, and demonstrate skills and activities to others who are undertaking similar work.
Identify training needs and ensure that these are put in place.
